Summary At the Indian Health Service, Administrative Support Assistant are essential to the success of daily operation. Responsibilities Receives, assesses, routes, handles incoming and outgoing materials such as routine correspondence, reports, memoranda and other forms of written communication. Performs office automation duties such as reports, forms, presentation materials which may include complex graphs, charts, and tabular materials. Compiles, organizes, and tracks program data which may include statistical information in support of the organization's program operations. Manages the appointment and meeting schedule for the Director of the organizational unit served. Receives, refers, and interacts with persons within and outside the immediate organizational unit. Performs a wide variety of administrative tasks such as purchasing supplies, equipment and other materials utilizing prescribed purchasing guidelines and procedures. Follows-up on and tracks expenditures and ensures prompt payment. Background Investigation Requirement: This position requires the successful completion of a federal background investigation as a condition of employment. Qualifications To qualify for this position, your resume must state sufficient experience and/or education, to perform the duties of the specific position for which you are applying. MINIMUM QUALIFICATIONS: GS-05: Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the next lower grade level in the Federal service obtained in either the private or public sector performing the following @type of work and/or tasks: Performing clerical work such as preparing, receiving and verifying documents; maintaining office records; and locating and compiling data or information from files and other data sources. OR Successfully completed 4 years of education beyond the high school level. Education was obtained in an accredited business, secretarial or technical school, junior college, college or university. OR A combination of education and experience that when combined fully meet the minimum qualifications for this position. Only education in excess of the first 60 semester hours is creditable toward meeting the specialized experience requirement. The total percentage equals at least 100 percent to qualify for this GS-05 grade level. Must submit transcripts GS-06: Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the next lower grade level in the Federal service obtained in either the private or public sector performing the following @type of work and/or tasks: Creating a variety of correspondence in proper formats using word processing programs; maintaining manual and electronic calendars to add, delete, or change meetings; serving as a receptionist or point-of-contact for an office; and performing data entry into an automated timekeeping system. GS-07: Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the next lower grade level in the Federal service obtained in either the private or public sector performing the following @type of work and/or tasks: Managing calendars and meeting schedules for higher level staff; performing specialized office tasks in support of a unit including screening training requests, compiling information from a variety of sources to prepare reports; and preparing and submit supply requisitions according to established rules. Typing Proficiency Requirements: In addition to meeting experience or education requirements, applicants must provide evidence of their typing proficiency of 40 words per minute typing speed based on a 5-minute sample from a school or other organization authorized to issue such certificates.
