Administrative Coordinator

Description We are looking for an Administrative Coordinator to support daily office operations in Massachusetts. This contract opportunity with potential for a permanent role is ideal for someone who enjoys keeping schedules organized, managing communications, and handling detailed administrative tasks across multiple business functions. The position offers a steady Monday through Friday schedule and works closely with teams supporting administration and accounting activities.

Responsibilities:

Manage incoming client calls, respond professionally to inquiries, and direct requests to the appropriate team members.

Coordinate and maintain appointment schedules to help ensure timely service and efficient daily operations.

Prepare, organize, and submit permit-related documentation while keeping records accurate and up to date.

Provide administrative support for accounting and operational functions, including document handling and routine office tasks.

Enter, update, and maintain information in internal systems and spreadsheets with a high level of accuracy.

Assist with general clerical duties such as filing, correspondence, and record management to support office efficiency.

Use Microsoft Office applications and internal data systems to track information, prepare documents, and support departmental workflows. Requirements - Experience in an administrative, coordination, or office support role.

Strong ability to handle inbound calls and communicate professionally with clients and internal staff.

Proven skill in scheduling, calendar coordination, and managing multiple priorities.

Familiarity with permit processing, document filing, or related administrative recordkeeping.

Working knowledge of Microsoft Office Suite, including Outlook, Word, and Excel.

Construction industry exposure is preferred, particularly in environments involving service or trade operations.

Basic accounting knowledge or experience supporting accounting-related administrative tasks is preferred.

High attention to detail and accuracy in data entry, documentation, and follow-up activities. TalentMatch®
