This is a fulltime job working 40 hours a week. No per diem and no relocation assistance.

Administrative Clerk - HSE

The Industrial Administrative Clerk - HSE provides administrative and clerical support within an industrial or manufacturing environment. This role is responsible for maintaining accurate records, coordinating communication, supporting operations teams, and ensuring smooth day-to-day administrative functions in support of production, maintenance, and site management activities.

Key Responsibilities

Administrative Support

Perform general clerical duties including data entry, filing, document control, and correspondence.

Prepare reports, spreadsheets, and presentations as needed for operations and management teams.

Maintain organized physical and electronic filing systems.

Document & Records Management

Track and manage work orders, purchase orders, invoices, and delivery receipts.

Ensure compliance with company policies and industry regulations for document retention.

Update databases and systems with accurate, timely information.

Operations Coordination

Assist in scheduling maintenance activities, workforce assignments, and project timelines.

Coordinate with supervisors, vendors, and contractors to facilitate workflow.

Monitor inventory levels and assist with ordering office or operational supplies.

Communication

Serve as a point of contact for internal departments and external partners.

Answer phones, respond to emails, and route inquiries appropriately.

Support meetings by preparing agendas, taking minutes, and tracking action items.

Compliance & Safety Support

Maintain safety records, training logs, and compliance documentation.

Assist in preparing reports related to audits or inspections.

Qualifications

High school diploma or GED required; associate degree preferred.

1-3 years of administrative or clerical experience, preferably in an industrial, manufacturing, or construction environment.

Strong proficiency in Microsoft Office (Excel, Word, Outlook); experience with ERP systems is a plus.

Excellent organizational and time management skills.

Strong attention to detail and accuracy.

Effective written and verbal communication skills.

Working Conditions

Work is performed in an office setting within or adjacent to an industrial or plant environment.

May require occasional exposure to noise, PPE requirements, or site safety protocols.

Standard working hours with potential for overtime depending on operational needs.
