Job Description
The Project Accountant plays a key role in supporting construction project teams by managing project invoicing, payments, and job cost tracking. This position partners closely with Project Managers to prepare and administer subcontracts, manage change orders, and maintain accurate project financial records. The Project Accountant oversees project billing, monitors budget-to-cost performance, and supports monthly and annual close activities while ensuring compliance with applicable regulations, policies, and procedures.
Responsibilities
Manage end-to-end project billing, including preparing, reviewing, and submitting monthly project billings in a timely and accurate manner.
Track and analyze job costs, including budget-to-cost comparisons and variance analysis, to support effective project financial management.
Work closely with Project Managers to prepare and distribute subcontracts, ensuring all required compliance documentation is complete and accurate.
Monitor subcontractor compliance, including reviewing insurance and bonding requirements, and maintaining up-to-date records.
Prepare and process owner and subcontractor change orders, ensuring appropriate approvals and accurate reflection in project financials.
Process subcontractor invoices and payments, verifying accuracy against contracts, change orders, and project budgets.
Administer certified payroll for prevailing wage projects, ensuring accuracy and compliance with applicable regulations.
Maintain accurate accounts receivable records for assigned projects and support timely collection efforts.
Support monthly and annual close activities by preparing job cost schedules, reconciliations, and related financial reports.
Prepare and distribute job cost and financial reports to Project Managers and leadership, highlighting key trends and variances.
Ensure adherence to internal policies, procedures, and relevant regulations in all project accounting activities.
Collaborate with project and accounting teams through frequent communication to resolve billing, cost, and compliance questions.
Contribute to continuous improvement of project financial processes, tools, and reporting.
Essential Skills
At least 3 years of project billing experience, preferably within the construction industry.
At least 3 years of experience working with change orders, including preparation and tracking.
At least 3 years of experience preparing and administering subcontracts.
Strong understanding of the construction industry and project-based accounting practices.
Demonstrated ability to work with percentage-of-completion accounting for projects.
Proficiency in Microsoft Office, including the ability to create pivot tables and use VLOOKUP in Excel.
Experience working within a large-scale ERP system such as SAP, Oracle, Workday, Sage, NetSuite, Infor, or a similar platform.
Ability to manage multiple projects and deadlines in a fast-paced environment.
Strong attention to detail and accuracy in financial data and documentation.
Effective communication and collaboration skills when working with Project Managers and cross-functional teams.
Additional Skills & Qualifications
Experience with construction-focused ERP systems such as Viewpoint or similar platforms.
Familiarity with work-in-progress (WIP) reporting and related processes.
Experience with AIA billing formats and requirements.
Background in developing and managing project budgets and cost forecasts.
Experience issuing and tracking project-related purchase orders and related documentation.
Proven ability to build productive working relationships with Project Managers and operational leaders across multiple business units.
Comfort working in a growing, multi-entity construction organization with exposure to senior leadership.
Work Environment
This role is fully on-site with no hybrid flexibility, based in one of the company's construction accounting offices located in York, Pennsylvania; Hanover, Pennsylvania; or Cocoa, Florida. The environment is collaborative and fast-paced, supporting multiple construction business units and brands. The Project Accountant works closely with project and finance teams, with heavy day-to-day communication via Microsoft Teams and email. The position operates within a professional office setting, using large-scale ERP systems and the Microsoft Office suite to manage project financial processes and reporting.

Pay and Benefits
The pay range for this position is $33.00 - $44.00/hr.
