Summary The employee will serve as a Purchasing Agent at the William S. Middleton Memorial Veterans Hospital in Madison, WI. This position is located in the Prosthetic and Sensory Aids Service. Responsibilities THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION Duties include, but may not be limited to the following: Manages the collection of data to be used in numerous reports to ensure adequate resource funding and compliance. Researches the use of different solicitation methods, ordering or reporting procedures and purchasing methods to distinguish between different purchasing strategies. Documents the services required per the contractual agreement and monitors, tracks and trends contractor performance. Completes transaction on the patient's medical record to ensure documentation of exactly what was purchased and issued. Conduct face-to-face and telephone conversations with patients, family members, and private medical staff, contractors, vendors and co-workers. Resolves conflicts in administering purchase orders, such as protests, claims, duplicate billing & terminations for convenience or default. Completes purchase orders and reconcile charges. Maintains accurate records of transactions. Completes all adjustments to computerized system before final payment to vendor is certified. Performs other related duties as assigned. Qualifications SPECIALIZED EXPERIENCE: Applicants must possess at least one (1) year of specialized experience that equipped them with the particular knowledge, skills and abilities to perform successfully the duties of this position and that is typically in or related to the work of this position. To be creditable, this experience must have been equivalent to at least the GS-5 level in the Federal service. Specialized experience includes: creating purchase card orders in the database; reconciling purchase card orders; purchasing prosthetic devices and/or services for eligible patients; maintaining contact with vendors, patients and caregivers; interpreting instructions/consults from physicians and other health care providers; preparing letters and correspondence; and operating office equipment.
