Summary The Charles George Medical Center is currently recruiting for one (1) Advanced Medical Support Assistants within the Community Care Service. The incumbent is responsible for initiating and carrying out a variety of administrative and technical duties in support of the Office of Community Care. This person provides administrative support to coordination of patient care and appointments and logistical factors associated with direct patient care such as the coordination of care. Assignments at this level include, but are not limited: scheduling, canceling, re-scheduling patient's appointments and/or consults; verifying and updating demographics and insurance information; performing basic edibility, and preauthorization requirements for specific coverage. Duties may include but are not limited to: Perform at a competent level and work collaboratively in the Community Care coordinated care delivery model, specifically in support of the MISSION Act and Community Care Network programs. Perform scheduling, canceling, re-scheduling of patient appointments and or consults. Develops and maintains effective and efficient communication with the patient, interdisciplinary team, VA Medical Centers, and other agencies. Responsible for maintaining/scheduling appointments. Work within the team to set team priorities and deadlines, adjusting the flow and sequencing of the work to meet team and patient needs. Resolves complaints of a local administrative nature and refers other complaints to appropriate authorities. Maintains patient's confidential records, copies, and file documentation. Protects printed and electronic files containing sensitive data in accordance with the provisions of the Privacy Act of 1974 and other applicable laws, federal regulations, VA statutes and policy, and VHA policy. Protects the data from unauthorized release or from loss, alteration, or unauthorized deletion. Grade Determinations: In addition to the basic requirements above, applicants must meet the following experience: Medical Support Assistant (Advanced), GS-06 One year of experience equivalent to the next lower grade level GS-5 Medical Support Assistant grade level. Duties at this level include, but are not limited to: performing a full range of duties related to the delivery of healthcare services in an inpatient or outpatient setting; answering phones; greeting patients; relaying messages to appropriate staff inside or outside of the unit; scheduling appointments; including interpreting and verifying provider orders to schedule within scheduling guidelines. And Demonstrated Knowledge, Skills, and Abilities. Candidates must demonstrate the KSAs below: Advanced knowledge of the technical health care process (including, but not limited to, scheduling across interdisciplinary coordinated care delivery and/or care in the community models and patient health care portals) as it relates to access to care. Advanced knowledge of policies and procedures associated with interdisciplinary coordinated care delivery and/or care in the community operational activities that affect patient flow, and patient support care administrative functions to include, but not limited to appointment cycles, outside patient referrals, follow-up care, over booking, provider availability, etc. Advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians. Ability to collaborate and communicate with a wide range of medical clinicians across multiple disciplines (e.g., medical doctors, nurse practitioners, physician assistants, psychologists, psychiatrists, social workers, clinical pharmacists, and nursing staff) to accomplish team goal setting to ensure medical care to patients is met. Ability to independently set priorities and organize work to meet deadlines, ensuring compliance with established processes, policies, and regulations. Ability to communicate tactfully and effectively, electronically, by phone, in person, and in writing, with internal and external customers. This may include preparing reports in various formats and presenting data to various organizational levels, as well as resolving patient concerns. May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria). Preferred Experience: Standardized care coordination model, incorporating case management principles if applicable Knowledge of processes related to referral and authorization and secure medical documentation exchange.
