PSBU - Administrative Assistant I

Overview

We are seeking a highly organized and proactive Administrative Assistant I to support leaders and teams within the PSBU organization. This role provides comprehensive administrative, operational, and coordination support to ensure smooth day-to-day business operations and effective team execution.

Key Responsibilities

Executive & Team Support

Manage and coordinate calendars, meetings, and scheduling across teams

Coordinate domestic and international travel arrangements (Experience with Concur or similar travel tools is a plus)

Prepare and submit expense reports

Operations & Business Support

Process SAP purchase requisitions and track approvals through PO issuance

Support monthly/quarterly accruals and basic financial tracking activities

Manage and maintain documentation in SharePoint.

Maintain organizational charts, distribution lists, and internal records

Manage office assets, supplies, and equipment lifecycle (ordering, replacement, tracking)

Onboarding & Employee Support

Coordinate new hire onboarding logistics (equipment, system access)

Provide support for time entry processes and administrative coverage as needed

Events & Logistics

Coordinate meetings, team events, and internal/external visits

Arrange catering, room logistics, and meeting materials

Support visa/passport coordination and travel documentation when required

Administrative Excellence

Provide backup support to other administrative staff and assist with ad hoc projects

Contribute to process improvements and small organizational initiatives

Qualifications

High school diploma or equivalent (Associate or Bachelor's degree preferred)

5+ years of administrative or business support experience

Skills & Competencies

Strong communication and interpersonal skills with a professional presence

Proven ability to manage multiple priorities with strong attention to detail

Self-starter with proactive problem-solving mindset

Ability to handle confidential information with discretion

Advanced proficiency in Microsoft Office (Teams, Outlook, Word, Excel, PowerPoint)

Experience with SAP (purchase requisitions, expense processing) preferred

Familiarity with SharePoint and document management tools

This role follows a hybrid work model. Candidates should be comfortable coming into the office 2-3 times per week

1Finity salaries are aligned to the specific geographic location in which the work is primarily performed.?It is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are dependent on the circumstances of each situation. The pay range for this role takes into account the wide range of factors that are considered in making compensation decisions including but not limited to: specific skills, qualifications, experience, and comparison to other employees already in this role. The pay range for this position is estimated at $56,999 to $81,427 USD. Additionally, this role may be eligible for a short-term incentive based on company results and individual performance.
