Job Title: Medical Administrative Assistant
Responsibilities
Assist patients with check-in and check-out procedures, including completing all required forms and verifying that documentation is accurate and complete.
Utilize ModMed as the primary electronic medical record (EMR) system to maintain, update, and retrieve patient records.
Maintain and update patient medical histories and records with a high level of accuracy and confidentiality.
Handle incoming calls from patients, route calls to the appropriate personnel, and respond to patient inquiries in a professional and timely manner.
Manage a high volume of daily calls, typically handling approximately 70-100 patient calls per day as part of the department team.
Verify patient insurance coverage prior to visits and procedures to support accurate billing and a smooth patient experience.
Process insurance claims, create invoices, and manage patient billing in coordination with office and clinical staff.
Provide patients with clear information on treatments, medications, and post-procedure care as directed by healthcare providers.
Order and manage medical supplies and equipment, ensuring adequate stock and timely replenishment.
Work closely with healthcare providers and other staff to support efficient patient flow and coordinated office operations.
Organize daily workload, prioritize tasks effectively, and adapt to changing needs, especially on high-volume days such as Mondays.
Demonstrate strong interpersonal and communication skills, maintaining a positive, affirming attitude toward patients and colleagues at all times.
Essential Skills
Experience working as a medical receptionist or in a medical front office role.
Hands-on EMR experience, with the ability to learn and effectively use ModMed (the EMR system used as of August 2025).
Previous experience in an orthopedic setting is strongly preferred.
Strong medical terminology knowledge to support accurate documentation and effective communication with patients and providers.
Proven ability to provide high-quality customer service and patient service in a healthcare environment.
Ability to organize workload, manage multiple tasks, and prioritize responsibilities in a busy office.
Excellent interpersonal and communication skills, with a positive and affirming attitude toward patients.
Comfort working with patient records, billing information, and insurance details while maintaining confidentiality and accuracy.
Additional Skills & Qualifications
Experience using ModMed or similar EMR platforms.
Prior experience in an orthopedic practice or specialty medical office.
Demonstrated ability to thrive in a high-volume call environment as part of a collaborative team.
Strong attention to detail when updating medical histories, processing insurance claims, and managing billing.
Comfort working closely with a variety of healthcare professionals across multiple offices in a larger network.
Interest in continuous learning and openness to guidance from providers who are eager to teach.
Work Environment
This position is based in a medical office environment within a larger local network of seven offices in New Jersey, offering a small-group feel while being part of a broader team of more than 80 employees across all locations. You will work standard office hours, completing an 8-hour shift within those hours, with no weekend or evening work required for this role. Mondays are typically the busiest day, and the department consists of eight team members who collectively handle approximately 70-100 patient calls per day. The practice uses ModMed as its EMR system and operates as an orthopedic-focused setting, with providers who are friendly, approachable, and eager to teach. Pay and Benefits
The pay range for this position is $19.00 - $21.00/hr.
