Job Title: Data Steward
Job Description
This contract Data Steward role supports an Engineering Applications and Standards organization that provides subject matter expert services for high voltage, protection, communication, and control equipment, and serves as steward of transmission engineering policy and governance documentation. You will manage and track data across multiple organizational assignments, projects, and initiatives, prepare and edit standards, specifications, reports, and process documentation, and support training and operations for technical software and data systems. The role suits an organized, self-directed professional with strong knowledge of automated data systems and a keen eye for accuracy, compliance, and process improvement.
Responsibilities
Serve as the primary point of contact and data tracker for Sulfur Hexafluoride (SF6) leaks and inventory across the system.
Review and update project data in multiple project tracking systems to ensure accuracy and completeness.
Create monthly SF6 reports and provide them to internal engineering and environmental stakeholders.
Develop a comprehensive annual SF6 report for environmental teams to submit to state and federal organizations, validating compliance with environmental regulations.
Review project deliverables to confirm all required documents and data are included, accurate, and complete.
Document project deliverable processes and procedures to support consistent execution and compliance.
Review and document data archiving processes to ensure proper retention, storage, and retrieval of records.
Administer and manage the SF6 SharePoint site, including structure, content, permissions, and updates.
Provide subject matter expert support for the SF6 tracking system and serve as a resource for users.
Create and maintain supporting documentation and user guidance for the SF6 tracking system.
Scan physical records for digital archiving and ensure they are properly indexed and stored.
Assist policy and governance teams with data tracking for in-flight development of standards, construction specifications, and governance documentation.
Support engineering organizations with data management for Work Intake Tracking SharePoint sites.
Assist engineering organizations with tracking additions and removals from the approved equipment list.
Develop and recommend business rules and procedures for data and information storage to improve consistency and compliance.
Create or implement metadata processes and frameworks to enhance data organization and retrieval.
Assist administrative staff with booking domestic and international travel for team members.
Provide support for GSA fleet vehicles assigned to the organization, including maintaining vehicle files, recording mileage, scheduling repairs, service, and maintenance, and delivering vehicles to field staff as needed.
Develop use cases for and/or utilize AI tools such as AI, DOE, Joulix, or EnerGPT to identify inconsistencies, ambiguities, and improvement opportunities within standards and specifications documentation.
Analyze multiple documents simultaneously by posing consistent critical questions across standards to drive alignment.
Improve and standardize glossary, definition, and acronym usage across standards and specifications.
Identify opportunities to combine or archive redundant standards to streamline documentation.
Create, organize, and maintain filing systems, files, emails, and records in accordance with compliance requirements.
Share and distribute documents only to personnel with a lawful government purpose to know, following information security and governance standards.
Maintain all official records in alignment with Information Security (INFOSEC) and Information Governance & Lifecycle Management (IGLM) standards and procedures.
Validate that official records are accurately maintained and ready for auditing purposes.
Download appropriate documentation to ProjectWise for use by internal personnel and contractors, and ensure ProjectWise files remain synchronized with primary files in SharePoint.
Process foreign visitor access and badging requests in accordance with established procedures.
Assist with contract submission requests by preparing and organizing required paperwork.
Support engineering organizations with SharePoint team sites, including content updates, site reviews, and permissions audits.
Provide support to develop, plan, and conduct reviews of organizational records and products, and develop recommendations for improving programs.
Coordinate the identification, collection, and review of records and information required to meet regulatory or other obligations.
Identify and analyze risks and issues related to managing recorded information, and provide input and recommendations for resolution.
Develop and maintain Nintex and other forms, database tools, lists, libraries, portals, and views to support organizational programs.
Perform project document control, including receiving documents, filing, assigning tasks, collecting feedback, and consolidating comments to maintain organized and traceable project records.
Essential Skills
At least 6 months of experience in records management supporting construction, engineering, surveying, drafting operations, or a related field.
Technical experience that aligns with engineering operations and demonstrates progressively more technical responsibilities.
Ability to apply diversified knowledge of principles and practices within assigned technical areas.
Working knowledge of automated data systems and their application to data management and tracking.
Experience and working knowledge of SharePoint, including entering, retrieving, and organizing data.
Experience and working knowledge of Bentley ProjectWise or a similar document library database.
Proficiency in Microsoft Excel for data entry, analysis, reporting, and tracking.
Demonstrated experience in data entry, data management, administrative support, and data analysis.
Strong organizational skills with the ability to manage multiple projects, records, and tracking systems simultaneously.
Ability to work independently with minimal supervision while meeting deadlines and maintaining accuracy.
Valid U.S. driver's license to support occasional vehicle-related responsibilities.
Additional Skills & Qualifications
Bachelor's degree in business management, logistics management, engineering, or a related technical field is preferred.
Experience supporting engineering applications, standards, or governance documentation is beneficial.
Familiarity with environmental compliance reporting, especially related to SF6 or similar regulated substances, is an asset.
Experience using or developing metadata processes and business rules for data and information storage.
Exposure to AI-based tools (such as AI, DOE, Joulix, or EnerGPT) for document analysis and process improvement.
Experience developing and maintaining electronic forms, workflows, and tools using Nintex or similar platforms.
Strong written communication skills for drafting, reviewing, and editing standards, specifications, reports, and process documentation.
Attention to detail and a methodical approach to document control, recordkeeping, and compliance.
Comfort working in a deadline-driven environment that may require coordination with multiple stakeholders.
Ability to support travel coordination and fleet vehicle administration as part of broader administrative responsibilities.
Work Environment
The role is based in an engineering-focused organization that oversees high voltage applications, testing and evaluation, and standards and governance, with a strong emphasis on aligning functions, processes, and standards with industry best practices. The team focuses on streamlining processes, improving efficiency, and leveraging quality assurance and quality control feedback from contractors, field staff, and design teams to drive continuous improvement in standards. The work environment is a slower-paced office setting with a very independent work style and limited direct supervision, yet it is strongly deadline-driven and often involves waiting on approvals, signatures, and paperwork from others. Hours offer some flexibility depending on the department, with options such as a 7:00 a.m. start instead of 8:00 a.m. Business casual attire is standard. You will regularly use tools such as SharePoint, Bentley ProjectWise, Microsoft Excel, Nintex, and various data and document management systems. The position is located in Vancouver, Washington, and involves office-based work with occasional coordination of travel and support for GSA fleet vehicles. Pay and Benefits
The pay range for this position is $36.00 - $40.00/hr.
