The Specter Portfolio is seeking a motivated and professional Program Administrative Assistant to provide comprehensive support to Portfolio leadership and staff. This highly visible role serves as a primary point of coordination for executive scheduling, meeting logistics, travel planning, office administration, facilities support, and employee engagement activities. The successful candidate will work closely with the Senior Director, Directors, Program Managers, and support functions while providing administrative assistance to a organization of several hundred employees.
The ideal candidate will possess strong organizational and communication skills, demonstrate a high level of professionalism, and be comfortable interacting with employees, customers, and leaders across the company. Success in this role requires sound judgment, attention to detail, initiative, and the ability to handle sensitive and confidential information with discretion.
This position is an onsite role located in Tucson, Arizona. Relocation is not available.
Responsibilities to Anticipate:
Serve as the primary administrative point of contact for daily program office operations and workplace support activities.
Manage calendars and schedules for program leadership, proactively resolving conflicts and coordinating meetings across multiple organizations and time zones.
Coordinate meeting logistics including conference room reservations, visitor access, catering, audio/visual support, meeting materials, and event setup.
Prepare and assist with administrative documents, meeting minutes, presentations, reports, correspondence, and other program materials as needed.
Coordinate travel arrangements, prepare expense reports, and support other administrative transactions in accordance with Raytheon policies.
Program building and facilities support management; maintaining office inventory, anticipating needed supplies; verifying receipt of supplies, employee seating assignments, and facility move coordination.
Coordinate and escort visitors, custodial personnel, maintenance staff, delivery personnel, and vendors within secured work areas as required.
Submit and track facility work orders, service requests, visitor requests, and maintenance actions through approved Raytheon systems.
Build and maintain good business relationships with managers and administrative personnel.
Qualifications We Require:
Typically requires an AA/AS degree (or other 2-year post-high school training) with a minimum of 6 years of relevant experience.
Experience supporting large employee populations, groups, or leaders.
Experience with meeting scheduling and coordination, event planning, travel arrangements and/or preparing reports.
Active and transferable U.S. government issued security clearance is required prior to start date. U.S. citizenship is required, as only U.S. citizens are eligible for a security clearance.
Qualifications We Prefer:
Experience using Microsoft Office Suite Tools, to include but not limited to: Outlook, OneNote, PowerPoint, Word, Teams, and Excel.
Experience of working independently as well as working in a team environment.
Evidence of being a self-starter with the ability to take appropriate initiative and independent judgement for assisting leaders, customers, employees, and others.
Proven ability to maintain a professional office environment and manage multiple competing priorities.
Comfortable using technology such as Zoom and SharePoint, and open to learning new tools and technology.
Experience working with company tools, such as CAFM, ServiceNow, Concur, SAP/APEX, Rtime, etc.
Familiarity with Raytheon policies, procedures, forms, and processes.

The salary range for this role is 53,100 USD - 100,900 USD. The salary range provided is a good faith estimate representative of all experience levels.
