Job Title: Administrative Assistant / ReceptionistJob Description
This role combines front desk reception with hands-on administrative support in an engineering, manufacturing, and fabrication environment. The Administrative Assistant / Receptionist manages daily office operations, coordinates product shipments, supports data entry and documentation, and serves as a primary point of contact for customers and visitors. This position suits someone who is proactive, detail-oriented, and comfortable working in a quiet, structured office setting with a close-knit, family-style team.
Responsibilities
Manage and participate in product shipments, including preparing certificates of conformance, creating packing slips, scheduling shipments with carriers, and tracking both outbound and inbound shipments.
Perform data entry for purchase orders using the Deltek/Costpoint platform, ensuring accuracy and completeness.
Scan and organize received product documentation, including shipping documents, invoices, certificates of conformance, and other applicable records.
Receive inbound calls, route them appropriately, and accurately collect and relay messages.
Follow up with customers for performance reviews and other required feedback, maintaining a professional and service-oriented approach.
Assist with preparing, processing, and tracking expense reports.
Provide general office support, including tracking inventory of office and shop supplies and coordinating purchasing as needed.
Maintain organized filing systems (physical and electronic) to support administrative and clerical functions.
Support front desk operations by greeting visitors, managing deliveries, and representing the organization in a professional manner.
Demonstrate initiative by identifying opportunities to assist colleagues and taking on additional tasks when primary responsibilities are complete.
Handle confidential information with discretion and maintain high ethical standards in all administrative activities.
Essential Skills
Minimum 2 years of experience in an administrative role within an engineering, manufacturing, or fabrication environment.
Proficiency with computers and the Microsoft Office suite of applications, including Outlook.
Experience with data entry and administrative support tasks.
Strong verbal and written communication skills.
Strong interpersonal skills with the ability to build positive working relationships.
Effective speaking and listening skills for interacting with customers, vendors, and internal teams.
Ability to multitask and manage priorities in a fast-paced environment.
Strong customer service skills and a professional telephone manner.

Work Environment
This is a fully onsite, in-office position based in Oxnard, CA, working Monday through Friday from 8:00 a.m. to 5:00 p.m. The role is primarily front desk-based, with the reception desk visible to the rest of the office. The environment is generally quiet and structured, which may occasionally feel repetitive or slow-paced, so it suits someone who is self-motivated and seeks out additional tasks when their primary work is complete. The position supports an engineering, manufacturing, and fabrication setting, requiring consistent professionalism and focus. Use of personal phones during work hours is discouraged to maintain productivity and attentiveness at the front desk. The team is small, offering a family-like atmosphere and a strong sense of collaboration, with the role structured as a contract-to-hire opportunity that provides long-term potential for the right person.

Pay and Benefits
The pay range for this position is $25.00 - $25.00/hr.
