Summary The incumbent functions as the Administrative Officer (AO) to the Community Care Section with CHAG Service located at Richard L. Roudebush VA Medical Center and supported catchment area, who will report directly to the Community Care Manager. The incumbent will perform a variety of duties across the full jurisdiction of the health care system in an extremely complex medical facility, which is constantly evolving within a highly complex and competitive geographic area. Responsibilities The purpose of Administrative Officer is to coordinate and implement all the administrative activities of the service. The position facilitates the active and complex interactions necessary for the smooth delivery of care across services within the facility. Principal duties and responsibilities include but are not limited too: The AO participates in the overall administrative, operational management, decision-making, policy development and resource allocation and utilization for the Service. Incumbent provides administrative and analytical expertise and works independently and closely on a day-to-day basis with the service supervisor or manager, Community Care Section in planning, identifying, resolving, and implementing complex management programs and policies related to the operation of Community Care. Provides for the overall administrative management of Community Care. Exercises independent and creative judgment in accomplishing major duties. This may include interpreting administrative policies, developing local polices, defining administrative requirements, and/or providing advice to the service supervisor on related issues. This will include, but is not limited to, monitors performance, suspense actions, and enforces the directions of the service supervisor or manager of Community Care to ensure issues are brought to closure. Assists in the planning, review, and reporting of data/statistical results of program/project studies. Performs a basic analysis of the data and generates a variety of reports. Coordinates incoming data from a variety of sources. Reviews documents, reports, and/or applications for omissions and inconsistencies, and ensures data entry is complete and accurate. Enters pertinent information into an automated tracking system. Maintains automated system of program-specific data to track suspense's on items such as project milestones, progress reports, funding accomplishments, compliance strategies. Incumbent will be the administrative Point of Contact for the service SharePoint page, email groups, organizational charts, and Reusable Medical Equipment Program. Oversees general administrative work such as appointment calendars and scheduling of interviews and conference rooms (VAEA). Obtains and monitors the use of services, supplies, or equipment for the offices. Plans for, justifies, and places requests for items such as space, projects, replacements, etc. Determines suspense dates for projects and follows up with supervisor/staff members of the VISN/local/internal action items prior to the meeting and makes administrative arrangements as required. Incumbent has the potential to serve as the VATAS Administrator for the service, this includes but not limited to certifying timecards, approving, and denying leave, premium pay, and internal voluntary reassignment requests (IVRR), and running time and leave reports as requested by CHAG and Community Care Management. Incumbent ensures OSHA compliance by performing various safety rounding's/assessments, maintaining safety data sheets, and reviewing/revising the service COOP as needed. The incumbent will serve as the service's Automated Data Processing Application Coordinator (ADPAC), record liaison, key controller, and PIV sponsor. Job duties related to ADPAC (including, but not limited to support all Community Care software and data management systems. Support includes understanding and ensuring availability of access, hardware, peripherals, equipment management, troubleshooting and user training. Products and systems include CPRS, VSSC and other VA data sites, Vista, Purchase Cards, Travel, etc. The ADPAC helps ensures compliance and integrity of VA, Joint Commission, OIG, and other regulatory and quality management bodies.
