What role you will play in our team
The administrative assistant is responsible for the direct administrative support for site management and work groups. The role encompasses data entry, classification, and reporting as well as base office support functions at the facility. The administrative assistant role works a normal 8 hour schedule with opportunity for limited overtime based on business needs.
What you will do
Process Invoices for different work groups.
Data collection, input, and quality control.
Generate weekly and monthly data reports.
Manage action tracking work processes and databases.
Provide word processing, spreadsheet, and presentation support.
Manage daily communication including mail, email, reception support along with contractor engagement.
Manage/prepare org charts, flowcharts, group contact information.
Prepare or assist with presentations as needed.
Manage SharePoint and website interface documents.
Organize logistics for internal and external meetings.
Schedule meetings, conference rooms as well as catering.
File, scan, and manage documents.
Handle file management for different departments.
Order office supplies and materials.
Reconcile invoices to procurement card.
About you
Skills and Qualifications
Driver's license and clean MVR
Experience in SAP required
Pass pre-employment D&A screening and background check
High School Diploma or equivalent.
Minimum 2 years of prior relevant experience.
Preferred Qualifications / Experience
Familiarity with Microsoft Office tools; Excel, Vizio, Word, OneNote, and PowerPoint.
Attention to detail, well-organized, self-starter able to prioritize and handle multiple tasks.
Ability to work with multiple levels of management in a professional manner.
Well-spoken and able to interact effectively with public and non-company personnel.
