Job Title: Construction Administrator

Job Summary:

The Construction Administrator provides administrative and operational support for construction projects from pre-construction through closeout. This role helps ensure projects stay organized, on schedule, and properly documented by coordinating contracts, project files, communications, schedules, and compliance-related paperwork.

Key Responsibilities:

Provide administrative support to project managers, superintendents, and construction teams

Maintain project files, contracts, submittals, change orders, RFIs, and other construction documentation

Track project schedules, deadlines, and deliverables

Coordinate communication between internal teams, subcontractors, vendors, and clients

Assist with bid documents, proposals, and contract administration

Prepare reports, meeting notes, and project correspondence

Monitor insurance certificates, permits, lien waivers, and compliance documentation

Process invoices, purchase orders, and other project-related financial paperwork

Support project closeout by organizing final documents, warranties, and punch list items

Maintain accurate records in project management systems and spreadsheets

Help ensure documentation is complete and aligned with company and project requirements

Requirements

High school diploma or equivalent required; associate's or bachelor's degree preferred

2+ years of administrative, construction administration, project coordination, or related experience preferred

Strong organizational and multitasking skills

Excellent written and verbal communication skills

Proficiency with Microsoft Office, especially Excel, Word, and Outlook

Experience with construction management or document control systems preferred

Ability to manage deadlines and work in a fast-paced environment

Strong attention to detail and problem-solving skills
