A Front Desk Administrator is needed to support a busy law firm. Work hours are Monday through Friday from 8:30 a.m. to 5 p.m.

Job Duties:

Meet with attorneys and support staff to discuss assigned cases or projects and update calendars and schedule meetings

Receive visitors at the front desk by greeting, welcoming, directing, and announcing them appropriately

Answer, screen, and forward incoming phone calls

Ensure reception area is tidy and presentable, with all necessary office supplies and material

Receive, sort and distribute daily mail/deliveries/faxes and order office supplies and keep inventory of stock

Enter attorney time into Timeslips

Copy, prepare, organize, store, and retrieve case files, which may include evidence, exhibits, deposition transcripts, pleadings, and other items

Open new files, update existing files, and process weekly payables

Perform other administrative duties as assigned

Job Qualifications:

Must have Receptionist or Administrative experience with a customer service attitude

Must be proficient using Microsoft Office Suite and able to maintain calendars

Must have solid communication, organizational, multitasking, and time-management skills with the ability to prioritize tasks

Must have the ability to function well in a high-paced and, at times, stressful environment

Must be resourceful and proactive when issues arise

Must have a professional attitude and appearance

Must be able to maintain confidentiality and to exercise discretion and good judgement
