Job Description
The Facilities Coordinator 4 oversees day-to-day facilities operations within a managed office environment, ensuring a clean, safe, and well-maintained workplace. This role directly supports the Assistant Facilities Manager by coordinating maintenance activities, managing vendors, and responding to work orders through a work order management system. The position focuses on delivering a best-in-class workplace experience, meeting key performance indicators, and supporting cost-effective facilities solutions. This is an initial 60-day contract role with the potential for extension and conversion to a full-time position based on performance and fit.
Responsibilities
Support an environment of teamwork, cooperation, performance excellence, and personal success across the facilities function.
Conduct daily walkthroughs of the office to ensure spaces remain clean, organized, and presentable at all times.
Respond promptly to all work orders, ensuring compliance with key performance indicators and delivering excellent customer service to internal stakeholders.
Identify opportunities for improved operations and service excellence, and make recommendations to enhance building performance and workplace experience.
Perform regular site inspections and assessments to ensure all building procedures and performance measures are maintained and that the workplace remains safe.
Schedule and manage repairs, maintenance activities, minor works, and other facilities-related work requests, tracking each request through to completion.
Provide clear information and direction to vendors, facilities staff, and other service providers to ensure coordinated execution of work with minimal disruption to occupants.
Assist in the procurement of vendors and services as required, supporting selection and onboarding processes in line with operational needs.
Coordinate the delivery of site amenities, which may include fitness services, food services, massage services, transportation support, and office moves, acting as the key point of contact on site.
Provide coordination and support for events, meetings, and conference facilities, ensuring rooms and services are prepared and functioning properly.
Perform additional facility-related duties as needed, including reception and guest support, mail and courier services, office supplies and equipment maintenance, landlord relations, and management of building access passes.
Support safety and security activities, including building access management and coordination with relevant stakeholders as needed.
Update and maintain accurate records and official documentation for the site, including internal web pages and other documentation related to moves, reconfigurations, events, reception, and building operations.
Maintain and propose emergency response plans, including evacuation procedures, after-hours emergency response, and environmental health and safety measures.
Perform services outside normal business hours and during weekends when necessary to deliver facilities services or as reasonably requested.
Participate in employee training programs to improve skill levels, knowledge, and competencies related to facilities operations.
Manage workload and work order processing within the Corrigo work order management system.
Align facilities work with operating company budgets, managing tasks and projects in accordance with budgetary guidelines.
Support the operating company in developing and executing facilities-related cost savings measures to reduce spending, in line with budget challenges and committed savings targets.
Manage the employee onboarding and offboarding process from a facilities perspective, including access, workspace setup, and related services.
Oversee parking garage pass distribution, manage parking validations, and resolve parking violations in a timely and professional manner.
Essential Skills
Proven experience in facilities operations and property maintenance within a corporate or commercial environment.
Strong attention to detail, with a focus on delivering an exceptional workplace experience.
Ability to manage and coordinate multiple work orders and tasks simultaneously while meeting key performance indicators.
Experience coordinating and directing vendors, facilities staff, and service providers to ensure high-quality and timely execution of work.
Capability to conduct regular site inspections and assessments to maintain building standards and workplace safety.
Strong organizational skills for tracking repairs, maintenance, minor works, and other requests through to completion.
Ability to maintain accurate records and documentation for facilities operations, including digital and web-based records.
Strong communication and interpersonal skills for interacting with employees, vendors, landlords, and other stakeholders.
Ability to support and maintain emergency response plans, including evacuation procedures and after-hours response.
Willingness and ability to perform services outside normal business hours and on weekends when required.
Ability to manage workload within a work order system such as Corrigo or a similar platform.
Demonstrated ability to support cost control and budget alignment within facilities operations.
Additional Skills & Qualifications
Experience using Corrigo or another computerized maintenance management or work order system.
Experience in coordinating workplace amenities such as fitness, food services, transportation, and on-site events.
Experience supporting reception, guest services, mailroom operations, and office supply management.
Familiarity with landlord relations and building access management processes.
Knowledge of environmental health and safety practices in an office or commercial building environment.
Experience participating in or delivering training related to facilities operations or workplace safety.
Prior experience in a role focused on workplace experience and employee-facing facilities support.
Ability to contribute ideas for operational improvements and service excellence initiatives.
Work Environment
This role is based on-site in a professional office environment in the Detroit, MI area, operating primarily Monday through Friday from 8:30 a.m. to 5:00 p.m. The position requires regular movement throughout the facility to conduct daily walkthroughs, inspections, and coordination with staff and vendors. Work is managed through a digital work order system, including Corrigo, and involves frequent interaction with internal teams, service providers, and building management. Paid parking is provided, and the role includes oversight of parking garage access, validations, and related issues. While the core schedule follows standard business hours, the Facilities Coordinator may occasionally perform duties after normal hours or on weekends to support events, emergencies, or essential facilities activities. Pay and Benefits
The pay range for this position is $25.00 - $26.00/hr.
