We are looking for an Executive Administrative Assistant to join our Employee Benefits Team team on a Hybrid work schedule.

SUMMARY OF RESPONSIBILITIES :

We are looking for a detail-oriented and proactive Executive Assistant to support our Operations team in Fall River, MA. This role is integral to keeping day-to-day operations running smoothly, providing administrative, data, and project support across a fast-paced insurance environment.

SPECIFIC RESPONSIBILITIES:

Schedule and coordinate appointments, meetings, and teamlogistics

Prepare agendas, take meeting notes, and distribute action items following meetings

Coordinate travel arrangements for leadership as needed

Draft and proofread internal communications and memos

Prepare, analyze, andmaintainspreadsheets and reports

Pull and distribute recurring operational reports

Maintain tracking logs for renewals, submissions, and key deadlines

Provide ticketing support for the agency management system

Maintain electronic filing systems, document version control, and SharePoint/Teams site content

Assistwith the design and production of marketing materials

Support data cleanup initiatives in coordination with the operations support team

Maintain Power of Attorney records for Registry Support

Assistwith processing invoices, expense reports, and vendor correspondence

Support new employee onboarding processes

Perform other duties as assigned by management

QUALIFICATIONS :

Prior experience in a professional office environmentrequired

Proficiencyin Microsoft Office Suite

Strong attention to detail with the ability to manage multiple priorities simultaneously

Excellent organizational, interpersonal, and written/verbal communication skills

Ability to work effectively both independently and within a team

The expected salary range for this position is $19.54/hr - $34.07/hr and will be impacted by factors such as the successful candidate's skills, experience and working location, as well as the specific position's business line, scope and level. Department Office Administration & Clerical

Required Experience: 2-5 years of relevant experience

Required Travel: Negligible

Required Education: High school or equivalent
