Description We are looking for a dependable Administrative Assistant to support daily operations at an organized office in Williston, Vermont. This contract position with potential for permanency is ideal for someone who enjoys being the primary on-site point of contact, creating a welcoming environment, and keeping administrative tasks organized and on schedule. The role offers the opportunity to contribute immediately in a front-office capacity, with potential flexibility in hours if the position becomes a permanent opportunity.

Responsibilities:

Welcome members, guests, and vendors while serving as the main in-office contact during business hours.

Open and close the office each day, ensuring the workspace is prepared for daily operations and secured at the end of the day.

Manage the shared inbox by responding to routine inquiries, directing messages appropriately, and coordinating follow-up actions.

Arrange meetings and maintain schedules to support smooth communication and office flow.

Provide attentive customer service by answering questions, resolving basic issues, and creating a positive visitor experience.

Lead prospective clients or visitors on office tours and present the space in a clear and informative manner.

Handle front-desk and receptionist activities such as answering inbound calls, greeting walk-ins, and supporting general administrative needs.

Complete clerical work including data entry, record updates, and other office support tasks as assigned.

Coordinate administrative reporting needs, including timely submission of time-related documentation when required. Requirements - Previous experience in an administrative assistant, receptionist, or front-desk support role.

Strong verbal and written communication skills with the ability to interact effectively with visitors and internal contacts.

Ability to manage multiple tasks at once while staying organized and attentive to detail.

Comfortable answering inbound calls, responding to email inquiries, and scheduling meetings.

Proficiency with basic office systems and standard administrative tasks, including data entry and calendar coordination.

Capable of working independently as the primary person on-site in an office setting.
