Job Title: Administrative Assistant Reception

Job Description

Seeking a detail-oriented and organized Administrative Assistant to support daily operations across office, laboratory, and manufacturing functions. This individual will play a key role in ensuring smooth internal communication, maintaining documentation, coordinating schedules, and supporting cross-functional teams in a fast-paced regulated environment. The ideal candidate is proactive, professional, and comfortable managing multiple priorities while supporting leadership and operational teams.

Responsibilities

Provide administrative support to management and operational teams.

Manage calendars, schedule meetings, and coordinate conference calls.

Prepare, format, and maintain reports, spreadsheets, and documentation.

Assist with data entry, filing, and document organization in compliance with company procedures.

Support onboarding activities, badge requests, and general office coordination.

Handle incoming calls, emails, and visitor communication professionally.

Coordinate office supplies, shipping, mailing, and inventory requests.

Assist with meeting preparation, agendas, and follow-up notes.

Maintain confidentiality of sensitive company and employee information.

Partner with teams across quality, manufacturing, laboratory, and operations as needed.

Essential Skills

1 to 3+ years of administrative, office support, or coordinator experience.

Strong organizational and multitasking skills.

Proficiency with Microsoft Office Suite including Outlook, Word, and Excel.

Excellent written and verbal communication skills.

Ability to prioritize tasks and work independently.

High attention to detail and professionalism.

Additional Skills & Qualifications

Experience working in a manufacturing, laboratory, pharmaceutical, or regulated environment is preferred.

Work Environment

This position operates within a pharmaceutical company, requiring engagement across various departments, including quality, manufacturing, laboratory, and operations. The environment is dynamic and demands a professional dress code to align with company standards.

Job Type & Location

This is a Contract position based out of Essex, CT.

Pay and Benefits

The pay range for this position is $20.00 - $25.00/hr.
