Job Title: Administrative Services Assistant 3Job Description
This full-time Administrative Services Assistant (ASA) 3 role offers a unique opportunity to provide high-level professional and confidential support to managers and staff within Power Services, a business line of Bonneville Power Administration. You will support day-to-day operations, including program coordination, meeting planning, contract and documentation coordination, reporting, and administrative support services. As an active member of the administrative services team, you may work with a Vice President and sub-departments, providing administrative backup for other Power Services organizations as needed. You will also serve as a liaison to external agencies and organizations, handling assignments that range from routine to critical.
Responsibilities
Provide confidential administrative/clerical support to managers and staff.
Greet, screen, and escort visitors, addressing questions and setting appointments.
Create, edit, and proof documents and presentations using MS Office Suite.
Draft and review correspondence for manager signature, ensuring compliance with policies.
Attend meetings, record minutes, and disseminate as needed.
Maintain a tracking system of action items to ensure timely compliance.
Screen and respond to telephone calls, forwarding inquiries as necessary.
Process and screen incoming and outgoing correspondence.
Establish and maintain communication channels to coordinate information flow.
Perform faxing, scanning, and photocopying, and request printing services.
Update and maintain desk reference manuals.
Serve as backup for Tier II and IV Administrative Assistants.
Coordinate managers' Outlook calendars and schedules.
Organize and plan meetings, conferences, and training sessions.
Assist with personnel actions, including performance appraisal plans.
Coordinate travel arrangements and process related documentation.
Manage time and attendance reporting for federal personnel.
Provide overall administrative support, liaising with various departments.
Maintain office supply stock and coordinate equipment maintenance.
Manage organizational SharePoint site, updating content and permissions.
Coordinate documentation for Power Services between BPA and external parties.
Essential Skills
High school diploma or equivalent required.
6 years of demonstrated administrative/clerical experience.
4+ years of experience with Microsoft Office Suite (Word, PowerPoint, Excel, Outlook).
Intermediate to advanced SharePoint skills.
Additional Skills & Qualifications
Associate's or Bachelor's Degree in Office Administration/Management or related field preferred.
Experience with remote meeting software (WebEx, Teams, etc.).
Previous experience in the utility industry.
Experience working with contracts.
Work Environment
The work environment is slower-paced with somewhat flexible hours, offering a business casual dress code. The role involves independent work with little supervision, but is deadline-driven and may require waiting on approvals. Pay and Benefits
The pay range for this position is $36.00 - $41.00/hr.
