Job Summary
This position is an advanced administrative support role for an existing organization or department. Completes assignments of a complex and confidential nature and relieves superior(s) of some administrative detail within established limits. Makes independent decisions regarding planning, organizing and scheduling own work. Assignments may require advanced computer skills in word processing, spreadsheet, power point, graphics and database software. This role may also be involved in administrative functions including tracking employee records and departmental budget.
Job Description
Key Accountabilities
-Provides administrative support to Senior Director and staff
-Maintains calendars; coordinates meetings and schedules conference rooms and equipment
-Coordinates travel and meeting arrangements for various department employees as necessary
-Uses various PC software packages such as spreadsheets, word processing, graphics, etc., to produce high quality reports, presentations, or other documents
-Prepares expense reports and processes and invoices and monthly corporate credit card statements. Sets up vendors, monitors payments and department expense budget.
-Monitors and orders supplies for the department
Education, Experience & Skill Requirements
-3 to 5 years of administrative support experience, preferably supporting senior level executives
-Advanced Microsoft Office (Word, Excel, Outlook, and PowerPoint) skills.
-Excellent verbal, written, and interpersonal communication skills
-Exceptional organization skills, able to deal with multiple & simultaneous projects while keeping them on track
-Demonstrated effective problem-solving skills
-Ability to maintain confidential information.
-Capable of arranging and scheduling complex, multi-site meetings with multiple members
-Ability to learn and navigate vendor payment systems
-Ability to monitor budget expenses
-Minimum High School diploma or equivalent
