POSITION
The Deputy Operations Director manages and provides strategic oversight over business and IT operations, performance management, and employee engagement and retention activities for the organization. The incumbent in this role must have excellent communication and organizational skills, analytical ability, and experience with project management. This position oversees the Front Desk/Operations Coordinator, and Salesforce staff, with direct supervision over the Senior Salesforce Administrator. This position reports directly to the Director of Operations.
KEY DUTIES AND RESPONSIBILITIES
Operations/Special Projects:
Oversee the day-to-day operations of the office including managing the Front Desk/Operations Coordinator who oversees security, fleet vehicles, and other office operations.
Build and modify operational processes to further business efficiencies and ensure compliance with state policies.
Assist the Operations Director with management and decision making of the administrative/operations budget.
Provide project management and change management support to the operation team's projects/initiatives.
Provide operations training for new employees.
Performance Planning and Management:
Oversee the SMART Act Performance Planning process including SMART goal development, identifying lead and lag measures, developing strategies and mapping out a plan for goal achievement and tracking.
Ensure SMART Act compliance for performance plans and reporting
Manage the monthly, quarterly and annual data and goal reporting submissions, tracking progress toward OEDIT's goals and the Governor's Bold Priorities
Create materials and prepare the Executive Director to testify at the annual SMART Act hearing.
Collaborate with OEDIT leadership and staff to ensure divisional goal alignment with OEDIT's overarching mission and goals.
Manage tracking and submission for all stimulus related programs.
Product/IT Director:
Provide strategic oversight of the Salesforce administration team, with direct supervision of the Senior Salesforce Administrator.
Serve as the main point of contact between OEDIT and the Governor's Office of Information Technology (OIT), working closely with the Governor's Office IT Director to support IT operations and strategic projects/initiatives.
Provide project management support for significant IT initiatives.
Track and manage all IT assets and purchases, (hardware, software, licenses, etc) office wide.
Assist and sign off on IT Procurements.
Employee Engagement and Training Management:
Oversee the planning, development, and facilitation of programs and strategies that support employee engagement and retention. (staff retreats, lunch and learns, OEDIT impact tours, OEDITConnect events, etc)
Provide staff training including:
Change Management Trainings (Prosci)
Emerging Leaders Program (SOC)
Additional training as they become available through SOC
Co-manage the OEDIT ALL-IN program with OEDIT's HR team.
Create and manage operations training hosted on OEDIT's LMS.
Participate on the Equity, Diversity, and Inclusion Committee.

SKILLS & ABILITIES
Effective oral and written communication ability. Must communicate effectively with all stakeholders, including OEDIT leadership, employees, other State agencies, and external stakeholders.
Provide continuous effort to improve operations, streamline processes, and work cooperatively and jointly to provide quality customer service
Experience with project management, execution and completion.
Ability to analyze training needs/requirements and to make suggestions and action plans
Ability to conduct research for special projects, respond timely to inquiries, and present written/ oral briefings
Ability to work with details and time-sensitive issues
Good decision-making skills and ability to work in a fast-paced environment
EDUCATION AND EXPERIENCE
Bachelor's degree in business or public administration, or related fields, preferred.
7+ Years in an operations focused position.
Related occupational experience or a combination of education and relevant, proven experience in comparable fields will substitute for the degree requirement on a year-for-year basis.
Supplemental Information
Salary Range: $95,000 - $105,000 Annually
This position is considered non-classified, which means the position is not part of the Colorado State Personnel System. Therefore, the individual appointed to this position is considered at-will, and is not covered by the State Personnel Rules or the State Classification System. However, this position does come with the same benefits (retirement, insurance, etc.) as every other State employee, and with the same opportunities, pride and passion that comes with working for the great State of Colorado. Even though employment is at-will, non-classified positions have protections against discrimination and retaliation in state and federal employment laws. "At-will" employment means that either the employee or the State may terminate the employment relationship at any time for any reason or no reason, with or without notice or cause, as long as no federal or state law is violated.
A wide salary range is posted for this position and any job offer is based upon a salary analysis to comply with the Colorado Equal Pay for Equal Work Act. The salary analysis considers relevant experience, education, certifications, and state seniority as compared to others doing substantially similar work. While all offers are compliant with the Colorado Equal Pay for Equal Work Act, there is no guarantee an offer will be at the top of the posted range based on the salary analysis.
