Job Summary

We are seeking a highly organized and detail-oriented Sales Administrative Assistant to support our service sales team. This role plays a critical part in keeping the sales operation running efficiently by managing administrative tasks, coordinating internal processes, and supporting account managers with day-to-day activities.

The ideal candidate is proactive, tech-savvy, and thrives in a fast-paced environment where accuracy and responsiveness are key.

Essential Duties & Responsibilities

Provide administrative support to the sales team, including account managers and leadership

Manage and maintain CRM data (updating contacts, tracking opportunities, ensuring accuracy)

Assist with proposal preparation and contract documentation

Track and follow up on quotes, proposals, and sales opportunities

Process service agreements, renewals, and related documentation

Prepare reports on sales performance, pipeline activity, and key metrics

Serve as a liaison between sales, operations, and customers to ensure smooth communication

Support onboarding of new customers and ensure proper documentation is completed

Assist with marketing or outreach efforts when needed (email campaigns, client communications)

Qualifications

2+ years of administrative, sales support, or coordination experience

Strong organizational skills with the ability to manage multiple priorities

High attention to detail and accuracy

Excellent written and verbal communication skills

Proficient in Microsoft Office (Excel, Word, Outlook); experience with CRM systems (Dynamics 365 preferred)

Ability to work independently and as part of a team

Customer-focused mindset with a professional demeanor
