Administrative Associate (Architecture)Key Responsibilities

Provide day-to-day administrative support to leadership and project teams

Manage calendars, meetings, and communications across multiple stakeholders

Prepare polished, client-ready documents, reports, and presentations

Support proposals and RFPs by assembling materials and tracking deadlines

Maintain organized project files, records, and office systems

Coordinate travel arrangements, office operations, and team events

Assist with invoicing, expense tracking, and basic bookkeeping tasks

Collaborate with marketing and project teams as the role evolves

Qualifications

2-5+ years of administrative experience required

(AEC, architecture, engineering, construction, or professional services experience preferred)

Strong organizational and multitasking abilities

Experience managing calendars and coordinating schedules

Proficiency in Microsoft Office Suite

(Google Workspace experience is a plus)

Excellent written and verbal communication skills

High attention to detail and ability to manage competing priorities

Professional, proactive, and team-oriented mindset

Job Type & Location

This is a Contract to Hire position based out of New York, NY.

Pay and Benefits

The pay range for this position is $25.00 - $30.00/hr.

Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
