Job Title: Marketing & Administrative AssistantJob Description
This entry-level Marketing & Administrative Assistant role supports both marketing initiatives and day-to-day administrative operations in a dynamic, project-based environment. You will coordinate the creation of marketing and sales materials, assist with campaigns and trade shows, and handle a variety of administrative tasks that keep the team organized and effective. Responsibilities
Coordinate the creation and production of sales, marketing, and packaging materials, ensuring each piece adheres to established brand guidelines.
Work closely with the marketing leadership to align all materials and campaigns with brand standards and strategic objectives.
Assist in creating and updating marketing campaigns, including print materials, web and print advertisements, tradeshow collateral, promotional items, and email blasts.
Collaborate with cross-functional teams to transform content into clear, engaging designs and drafts, and communicate design decisions effectively.
Maintain the customer database and generate internal database information, such as lists and counts, for direct marketing projects.
Track, analyze, and concisely report marketing analytics to demonstrate the effectiveness of campaigns and initiatives.
Track, collate, and maintain inventory of marketing materials, including photo work, artwork, film, marketing literature, archive files, and sample files.
Coordinate trade show exhibits, including promotions, packaging, shipping, and staff travel plans, and travel to and participate in trade shows when necessary.
Assist with design overflow, including updating templates and making layout or content changes as needed.
Provide general administrative support, including data entry, front desk coverage, and other office tasks that support daily operations.
Use project management tools to organize tasks, manage timelines, and support the successful completion of marketing projects.
Communicate proactively with team members, vendors, and other stakeholders to ensure smooth execution of projects and events.
Essential Skills
Bachelor's degree with no prior industry experience, or associate's degree with 2+ years of industry experience.
Associate's degree (A.A.) or equivalent from a two-year college or technical school and one to two years of related experience and/or training, or an equivalent combination of education and experience.
Proficiency in Adobe Creative Suite for designing and editing marketing materials.
Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and related tools.
Ability to operate Microsoft Edge and Google Chrome web browsers.
Ability to operate WordPress for basic website updates and content management.
Ability to operate Mailjet for email marketing campaigns.
Ability to operate Canva for creating and editing visual content.
Ability to operate ClickUp or similar project management software.
Basic understanding of websites and design principles.
Strong organizational skills and attention to detail.
Ability to perform accurate data entry and administrative support tasks.
Quick learner with a proactive mindset and strong initiative.
Comfortable holding conversations, collaborating with others, and communicating decisions clearly.
Ability to work independently and efficiently in a fast-paced environment.
Demonstrated ability to be quick, efficient, and autonomous, with a drive to complete work in a timely manner.
Additional Skills & Qualifications
Experience providing administrative support in an office environment.
Experience with front desk responsibilities, including greeting visitors and handling incoming inquiries.
Experience coordinating or supporting trade shows, events, or promotional activities.
Familiarity with direct marketing practices and customer database management.
Experience tracking and reporting marketing analytics or campaign performance.
Interest in marketing diverse brands and helping share their unique stories.
Ability to collaborate effectively within a communicative and team-oriented culture.
Strong interpersonal skills and comfort working with multiple stakeholders across the organization.
Work Environment
The work environment is project-based and fast-paced, with daily changes and evolving priorities that require flexibility and strong time management. The schedule is Monday through Friday, 8:00 AM to 4:30 PM, providing consistent daytime hours. You will work with a range of modern tools and technologies, including Microsoft Office, WordPress, Mailjet, Adobe Creative Suite, Canva, ClickUp, and current web browsers such as Microsoft Edge and Google Chrome. Pay and Benefits
The pay range for this position is $20.00 - $21.00/hr.
