Job Title: Site Administrator / Administrative Assistant
Job Description
The Site Administrator / Administrative Assistant supports construction site operations for an electrical contractor by managing onboarding, payroll-related clerical tasks, and general administrative functions. This onsite role is based at a large construction project in Austin, Texas and offers the opportunity to gain exposure to construction operations and project management processes in a fast-paced field environment. The position is a contract role initially planned for 6 months, with the potential to extend up to 12 months.
Responsibilities
Assist employees with orientation and guide them through the onboarding process, ensuring all required information and documentation are collected accurately and on time.
Gather and input information needed for payroll, maintaining accurate and up-to-date records for field and office personnel.
Use internal onboarding software to process new hires and maintain basic spreadsheets to track employee data and administrative activities.
Coordinate closely with the Controller, Project Managers, and payroll staff to ensure smooth onboarding, timely payroll processing, and alignment with project needs.
Serve as the primary point of contact for tradespeople during onboarding, answering questions, providing instructions, and directing them to appropriate resources.
Maintain organized records, files, and documentation in both digital and physical formats, ensuring compliance with company policies and procedures.
Support general office functions within the construction trailer, including handling correspondence, basic data entry, filing, and other clerical tasks as needed.
Protect sensitive information by following confidentiality standards and handling personnel and payroll data with discretion.
Assist in maintaining a professional and orderly office environment within the trailer to support efficient site operations.
Essential Skills
At least 2 years of administrative or clerical experience, preferably in a busy, multi-stakeholder environment.
Proficiency with basic spreadsheets, including data entry and simple tracking, using Microsoft Office or similar software.
Strong organizational skills with the ability to maintain accurate records and manage multiple tasks simultaneously.
Clear and professional communication skills, both verbal and written, to interact effectively with tradespeople, project leadership, and office staff.
Ability to handle sensitive information and maintain strict confidentiality regarding employee and payroll data.
Comfort working in a construction site trailer environment, including adapting to changing priorities and field conditions.
Demonstrated data entry accuracy and attention to detail when working with onboarding and payroll information.
Experience using onboarding tools or software systems to process new hires and maintain personnel records.
Additional Skills & Qualifications
High school diploma or equivalent required; an associate degree is preferred.
Strong attention to detail with the ability to prioritize tasks and meet deadlines in a dynamic environment.
Any industry experience is acceptable; experience in construction or on construction sites is a plus.
Previous experience supporting onboarding processes or HR-related administrative tasks is beneficial.
Comfort collaborating with accounting, payroll, and project management teams.
Flexibility to adjust to variable workloads and changing schedules based on project ramp-up periods.
Work Environment
This role is fully onsite in a construction trailer at a large project in Austin, Texas. The Site Administrator works closely with field teams, project managers, and office staff in a fast-paced construction setting. The position uses standard office technologies such as Microsoft Office, basic spreadsheet tools, and internal onboarding software while operating within a trailer-based office on an active job site. Work hours will vary depending on project demands, averaging approximately 28-30 hours per week, with up to 40 hours during ramp-up periods. Typical hours follow a 7:00 a.m. to 3:30 p.m. schedule, with some flexibility required to support project needs. The environment combines typical office tasks with the unique conditions of a construction site, requiring comfort working near ongoing field activities and maintaining a professional appearance appropriate for a site office.

Pay and Benefits
The pay range for this position is $17.00 - $20.00/hr.
