Summary This position serves as the Program Support Assistant for the Nurse Recruiter at Lexington VA Health Care System and serves as the primary support staff for coordination of Nursing applications for all full-time, part-time and fee basis Registered Nurses (RNs), Licensed Practical Nurses (LPNs), Nursing Assistants/ Health techs and Advanced Practice Registered Nurses (APRNs), facility wide. Responsibilities The Program Support Assistant provides technical, clerical and administrative support to the Associate Director of Patient Care Services, and direct reports to include but not limited to Chief Nurses, Social Work, Sterile Processing and PCS support staff, as directed. Major duties include but not limited to: Prepares recruitment materials for job fairs and college events, ensures adequate number of application packets are available. Maintains a calendar of appointments, meetings, conferences, and deadlines for the Nurse recruiter. Communicates effectively both verbally and in writing with individuals from a variety of backgrounds. Handles conflict and problems in dealing with customers, constructively and appropriately. Schedules appointments for interviews and/or walk-in applicants, responds to inquiries regarding vacancies, recruitment initiatives and the hiring/application process in a courteous manner. Types a variety of documents into final form, ensuring correct grammar, spelling, punctuation, format and style. Utilizes a computer and applications to extract pertinent data, prepare a variety of reports, regenerate tables, and graphs. Utilizes a range of software applications (i.e., Word, Excel, Outlook, etc.) to prepare correspondence. Assists with special projects and data collection. Responsible for the preparation and acquisition of supplies and services related to nurse recruitment activities, career fairs and on boarding surge events. Schedules meetings, transcribes minutes, gathers reports, and tracks actions for committees. Performs other duties as assigned. Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 06/08/2026. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Knowledge and skill in use of computer hardware with the ability to operate various software applications, i.e., Microsoft Word Processing, Excel, PowerPoint and Outlook, etc., as well as the medical center system utilizing VistA; Ability to perform a full range of duties including typing, organizing filing systems, scheduling meetings/appointments and maintaining calendars utilizing screening techniques and sorting/routing mail and making travel arrangements; Accurate record keeping; Knowledge of routine office procedures such as requesting supplies, screening calls, reviewing mail, etc; Ability to communicate clearly and understandably both in writing and orally; and Knowledge of customer service skills. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is mostly sedentary, but requires some stooping, bending, reaching, lifting, pushing, good eyesight and hearing. The lifting or carrying of objects involves objects weighing no more than ten pounds. The ability to concentrate on a task being performed is necessary due to the frequent nature of interruptions during a normal workday.
