PDS Tech Commercial is partnering with a leading aviation organization to hire a polished, organized, and people-focused Administrative Assistant / Receptionist . About the Role

As the Front Desk Administrative Assistant , you will serve as the first point of contact for guests, employees, and stakeholders-creating a welcoming and secure environment while ensuring smooth day-to-day operations. Your attention to detail, communication skills, and professionalism will directly support site efficiency and team success.

What You'll Do

Greet and assist visitors, contractors, and guests , ensuring a professional first impression

Coordinate with site hosts to manage visitor access and entry

Support security and compliance processes , including visitor forms, badge issuance, and access permissions

Manage new hire badge setup and partner with security teams

Answer and route phone calls , manage front desk emails, and take messages

Schedule and manage conference rooms , including coordinating meeting setups and catering

Receive, sort, and distribute mail and deliveries

Perform administrative tasks such as data entry, filing, scanning, and document management

Utilize tools like Outlook, Zoom, Excel, and internal systems to support daily operations

Work Details

Location: Everett, WA

Schedule: Monday-Friday, 7:00 AM - 4:00 PM (1-hour lunch)

Duration: 12-Month Full-Time Contract

Pay Rate: $26.19 per hour

Work Environment: Fully onsite

Required Qualifications

High School Diploma or GED

6-7 years of administrative or receptionist experience

Strong skills in Microsoft Outlook, Excel, and Zoom

Excellent communication and interpersonal skills

Ability to manage multiple tasks in a fast-paced environment

Professional, upbeat, and customer-focused demeanor

Strong work ethic and reliability

This position requires use of information or access to facilities subject to the International Traffic in Arms Regulations (ITAR) and/or Export Administration Regulations (EAR). These regulations may limit access of controlled technologies: 1) to U.S. Persons, including U.S. Citizens, lawful permanent residents, and other narrow categories including refugees and asylees, or 2) to certain foreign nationals that have received an export license.

Preferred Qualifications

Experience in corporate or aviation environments

Familiarity with security/access control processes

Experience coordinating meetings and events

Highly organized with strong attention to detail

Pay Details: $26.19 per hour
