Educational Administrative AssistantJob Description
The Educational Administrative Assistant serves as the primary front office contact, creating a professional, friendly, and efficient first impression for visitors, clients, and internal staff. This role provides comprehensive administrative and operational support across multiple functional areas, performing a wide range of clerical, receptionist, and project-based tasks. The position plays a key role in ensuring smooth day-to-day operations by managing front office activities, maintaining accurate records, and supporting a variety of organizational processes within an education-focused environment.
Responsibilities
Serve as the main reception contact, greeting visitors in a professional and courteous manner
Ensure all visitors sign in and follow established access procedures
Answer and manage multi-line telephone calls promptly, directing inquiries appropriately
Follow all internal protocols, processes, and procedures in daily activities
Provide general administrative and clerical support to leadership and staff
Prepare written responses to routine inquiries from internal and external parties
Receive deliveries and manage incoming and outgoing mail, including sorting and distribution
Maintain postage and shipping processes for packages and correspondence
Enter and manage orders within internal systems to support operational needs
Order and maintain supplies, materials, and equipment based on team requests
Distribute company-issued items and maintain accurate documentation records
Maintain and organize electronic filing systems to ensure accurate recordkeeping
Scan and upload documents into appropriate systems
Generate and distribute routine reports, including tracking and follow-up on key metrics
Assist with monitoring attendance or participation data and support follow-up efforts as needed
Handle requests for information and verification from third parties in accordance with policies
Maintain strict confidentiality of sensitive information and records at all times
Prepare reports, spreadsheets, and other documentation to support operations
Support team members with project-based work and cross-functional initiatives
Assist with event coordination and preparation of materials as needed
Essential Skills
3-5 years of experience in an administrative, office support, or similar role
High School Diploma or GED required
Proficiency in Microsoft Office (Word, Excel, Outlook) and general office software
Strong customer service and interpersonal skills
Experience with data entry, recordkeeping, and administrative processes
Ability to manage multiple priorities with strong attention to detail
Experience working with electronic filing systems and databases
Ability to operate standard office equipment (phones, copiers, scanners, printers)
Clear verbal and written communication skills
Strong organizational and time management skills
Knowledge of professional office procedures and etiquette
Ability to handle sensitive information with discretion and confidentiality
Additional Skills & Qualifications
Associate's degree or related training preferred
Experience in a front desk or receptionist capacity
Experience in a fast-paced, client- or service-oriented environment
Familiarity with ordering, inventory, or tracking systems
Bilingual communication skills are a plus
Experience supporting multiple teams or departments
Ability to contribute to and support project-based work
Strong collaboration skills across cross-functional teams
Experience within the education industry is a strong plus
Work Environment
This role operates in a professional, education-focused office setting with frequent interaction with visitors, clients, and internal staff. The position requires a consistently professional and welcoming demeanor, along with strong organizational and multitasking abilities. Daily responsibilities involve the use of computers, phone systems, and standard office equipment, as well as administrative software. The role follows a structured weekday schedule, with some variation based on operational needs.

Pay and Benefits
The pay range for this position is $18.00 - $21.00/hr.
