Job Summary:

Provides high quality customer service to the public through in-person, telephone and e-mail contact. This position will support the Parks and Recreation Department by providing clerical tasks, telephone operation, cash receipting, facility and program registration, and event assistance, as well as serving as primary backup for front desk staff.

Scope of Responsibility:

Responsible for own work. Reports directly to the Parks and Recreation Director and completes various duties and tasks. This position is responsible for the accuracy and timeliness of own work. Regular contact is made with the department and other departments, outside agencies and public (supplying or seeking information) on specialized matters.

Moderate supervision is given within standard operating procedures; supervisor is generally nearby to answer questions. Fairly standard procedures and tasks where basic analytical ability is required. Detailed guidelines and procedures are generally used to make decisions or determine actions.

Essential Duties and Responsibilities:

Provides exceptional front counter customer service to visitors, patrons and those who call the Parks and Recreation Department.

a. Greet walk-in customers, clients, vendors, or deliveries and direct to appropriate area or assist with information.

b. Serves as primary backup to front desk by occasionally answering a multi-line switchboard and provides general information to callers or routes incoming telephone calls to the appropriate individuals or groups.

c. Primary Customer Contact for Parks and Recreation Department.
Receives cash, issues receipts, makes proper change, and posts cash receipts to the accounting and recreation registration systems.

a. Assists with various functions of the receipting and accounts payable process, as needed.
Monitors registrations, daily functions, and assesses, trouble-shoots and coordinates with provider for software problems.
Assists with writing, coordinating, editing, and publishing general promotional and social media postings and materials.

a. Prepares program and league schedules, manuals, flyers, forms and other information pertinent to the operations of the division.
Manage and schedule all Civic Campus and park building room rentals.
Assists with other administrative duties, such as data entry, filing, mailings, organization, and record keeping, as well as maintaining organized digital storage of recreation documents and program information.

a. Scans documents into the City's document imaging system and assigns to appropriate folders.

b. Processes incoming mail, accepts deliveries, and notifies recipients of incoming packages.

c. Maintains an organized system of records, workspace as well public reception area.

d. Stays informed of general City information to properly provide accurate and relevant information to customers as needed.

e. Reports concerns, complaints, issues or problems to the appropriate personnel.
Assists the Parks and Recreation Department with event planning and preparation, including room setups/teardowns, assisting with visitor needs and facility reservations.

a. Assists in ordering and maintaining program, office and event inventories for the Parks and Recreation department.
Assists other City departments and serves on various committees and special projects as needed.
Manage and create the agenda for the Parks and Recreation Commission and task force meetings.
Works independently, using good judgment, decision-making, multi-tasking, and time management skills to identify, report and solve problems related to customer service, cash receipting and facility use.
Utilize good communication skills to work effectively with the public and fellow employees.
Administer record retention in accordance with the City regulations.
Performs other duties as assigned or apparent.

Minimum Education Required Minimum Qualifications:

The job requires a High School diploma or general education degree and two to three years' solid customer service experience as a receptionist or in guest relations with high call volume and multiple telephone lines along with walk-in customer service duties.
