This long-term Administrative Assistant role supports the company owner by delivering high-quality administrative and clerical support. You organize and maintain records, manage data entry, and use Microsoft Excel to create and update reports. The position requires strong communication and organizational skills, as well as confidence working with Microsoft Office and general office technology.
Responsibilities
Provide day-to-day administrative support to the company owner in a professional and proactive manner.
Perform accurate data entry, including inputting, updating, and maintaining information in spreadsheets and databases.
Use Microsoft Excel to generate, update, and organize reports as requested.
Handle general clerical tasks such as filing, faxing, scanning, and organizing physical and digital documents.
Maintain organized records and documentation to ensure easy retrieval of information.
Support calendar management and scheduling needs as required.
Respond to internal and external communications in a clear, professional, and timely manner.
Assist with client support activities, ensuring a positive and helpful experience.
Collaborate with the owner and team members to streamline administrative processes and improve efficiency.
Essential Skills
Proven experience providing administrative support in an office environment.
Strong data entry skills with high attention to detail and accuracy.
Proficiency with Microsoft Office, including Word, Excel, and Outlook.
Ability to use Microsoft Excel to create, edit, and maintain basic reports and spreadsheets.
Excellent organizational skills with the ability to manage multiple tasks and priorities.
Excellent verbal and written communication skills.
Ability to handle clerical tasks such as filing, scanning, faxing, and organizing documents.
Comfort working in an in-office, computer-based environment.
Additional Skills & Qualifications
Experience providing direct administrative support to leadership or ownership is a plus.
Previous experience in client support or customer-facing administrative work is beneficial.
Strong time-management skills and the ability to work independently with minimal supervision.
Proactive, supportive, and empathetic approach to working with colleagues and clients.
Willingness to grow with the role in a long-term, contract-to-hire opportunity.
Work Environment
This is an in-office, Monday through Friday position, typically working from 8:00 a.m. to 5:00 p.m. You will work at a desk using a computer to perform data entry, manage emails, and create Excel reports, as well as handle physical filing, faxing, and scanning. The role starts as contract-to-hire, offering the opportunity to transition into a long-term position.
