Administrative Specialist - Data Cleanup Project
Job Description
This role focuses on a 90-day data cleanup project to organize and enhance the accuracy of an internal applicant database. The Administrative Specialist will review more than 1,500 applications, categorize and clean records, and ensure that the data is accurate, current, and easy to use going forward. This position is strictly focused on data and administrative work and does not involve any applicant outreach, as all communication is managed by a third party.
Responsibilities
Review applications to determine their status, relevance, and appropriate next steps within the internal applicant database.
Identify and remove duplicate applications to maintain a clean and accurate dataset.
Verify which applicants have already been contacted by the third party and update records accordingly.
Remove outdated, inactive, or irrelevant applicants from the system to improve data quality.
Update applicant records and maintain accuracy within the internal platform, ensuring consistency and completeness.
Complete administrative tasks related to documentation, tracking, and organization of applicant information.
Utilize Microsoft Office tools, including Excel, Teams, Word, and Outlook, to support data entry, tracking, and communication.
Perform data entry and administrative support tasks with a high level of attention to detail and accuracy.
Work independently to meet project timelines, daily goals, and productivity expectations.
Collaborate as needed with team members and stakeholders to clarify data requirements and resolve discrepancies.
Essential Skills
1-2+ years of experience in a professional office setting.
Proficiency with Microsoft Office, including Excel, Teams, Word, and Outlook.
Strong data entry skills with a focus on accuracy and attention to detail.
Experience providing administrative support in a professional environment.
Ability to organize and manage large volumes of information or records.
Capability to work independently and meet deadlines in a fast-moving setting.
Effective written and verbal communication skills for internal coordination.
Additional Skills & Qualifications
Experience in recruiting, talent acquisition, or recruitment support, including activities such as screening resumes and supporting hiring processes.
Background in customer service, demonstrating strong client or stakeholder support skills.
Familiarity with full-cycle recruitment processes, even if not the primary focus of this role.
Experience with administrative support in sales or related business functions.
Good job tenure, such as limited job changes over a five-year period, indicating stability and commitment.
Experience working in an upbeat, fast-moving culture or large corporate environment.
Work Environment
This position operates in a professional office environment and is fully onsite. Standard hours are 8:30 a.m. to 5:00 p.m., Monday through Friday. The role is a focused 90-day project, offering the opportunity to contribute to a large-scale data initiative within a sizable, fast-moving organization. You will work primarily on a computer using Microsoft Office applications, particularly Excel, Teams, Word, and Outlook. Pay and Benefits
The pay range for this position is $25.00 - $26.00/hr.
