Accounting Assistant
Job Description
This Accounting Assistant role supports the finance team with daily accounting operations and general administrative tasks in a fast-paced, team-oriented environment. It is ideal for someone early in their accounting career who wants to gain hands-on experience across multiple accounting functions, including expense management, credit card reconciliation, invoicing, and data entry.
Responsibilities
Review and process employee expense reports to ensure accuracy and compliance with company policies.
Assist in reconciling company credit card transactions and ensure all charges are properly documented.
Identify and flag discrepancies in expenses or credit card transactions and follow up with employees as needed.
Scan, file, and maintain accounting documents in both physical and digital formats to ensure organized and accurate records.
Assist with printing, document preparation, and general office support tasks to keep finance operations running smoothly.
Support data entry and upkeep of accounting systems and spreadsheets, maintaining accuracy and consistency of financial information.
Collaborate with the finance team on day-to-day needs and special projects, contributing to continuous process improvement.
Communicate with internal employees regarding expenses, invoices, and required documentation in a clear and professional manner.
Assist with audits or reporting tasks as needed by gathering documentation, preparing schedules, and supporting audit requests.
Support invoicing activities by helping to process and track invoices and related documentation.
Contribute to a positive, team-focused culture by being willing to jump in and help where needed.
Essential Skills
Associate's degree in Accounting, Finance, or a related field.
0-2 years of experience in accounting, clerical, or administrative roles (preferred).
Basic understanding of accounting processes and principles.
Experience or familiarity with invoicing, expense reports, and credit card reconciliation.
Ability to perform reconciliations accurately and efficiently.
Proficiency in scanning, printing, and filing documents in an organized manner.
Comfort working with Microsoft Excel and basic accounting systems.
Strong attention to detail and excellent organizational skills.
Strong communication skills with the ability to work effectively in a team environment.
Comfort with repetitive tasks and high-volume data entry.
Organized and detail-oriented work style with a focus on accuracy.
Willingness to take feedback, be coachable, and support team needs as they arise.
Positive attitude and a team-first mindset.
Additional Skills & Qualifications
QuickBooks experience is preferred and considered an asset.
Prior experience supporting invoicing, expense reporting, or credit card reconciliation is beneficial.
Experience working in a fast-paced, growing organization.
Demonstrated ability to manage multiple tasks while maintaining accuracy.
Interest in developing a long-term career in accounting or finance.
Work Environment
This is a full-time, onsite position working approximately 40 hours per week, with typical hours between 8:00 a.m. and 4:00 or 5:00 p.m., including a one-hour break.
Job Type & Location
This is a Contract to Hire position based out of Buffalo, NY.
Pay and Benefits
The pay range for this position is $22.00 - $24.00/hr.
