Executive Admin, Commercial Seating & Furniture within Collins, Interiors Business Unit - General Management
We are seeking a highly motivated and detail-oriented Executive Administrative Assistant to join the Commercial Seating & Furniture team. This role will provide comprehensive executive administrative support to the Vice President & General Manager of Commercial Seating & Furniture . Based in Winston-Salem, North Carolina Office, this position requires an individual who thrives in a fast-paced environment.
This position will work onsite in Winston Salem, NC at our Oak Plaza Boulevard facility.
The hours for this role are Monday - Friday 8am - 5pm, with evening and weekend overtime hours as business need determine.
What You Will Do
Executive Support
Provide executive administrative support to 3 leaders including calendar management, meeting coordination, and resolution of scheduling conflicts
Arrange and manage executive travel logistics, ensuring timely and accurate expense reporting
Serve as the primary point of contact for respective senior leadership teams, streamlining communication and addressing inquiries
Provide targeted logistical and administrative support to sub-functions
Meeting & Event Coordination
Organize and attend executive staff meetings, including preparing agendas, taking meeting notes, tracking action items, and ensuring timely resolution of commitments
Plan and support organizational events, such as council meetings and department-wide all-hands meetings
Coordinate offsite meetings for leadership teams, ensuring seamless execution
Document & Data Management
Maintain accurate organizational charts, contact lists, and records for the leadership team and their delegates
Prepare and maintain Excel spreadsheets and PowerPoint presentations as needed for leadership meetings
Maintain department SharePoint, working with team members to ensure data is kept up-to-date
Collaboration & Communication
Assist with cross-departmental initiatives, projects, and communications to foster collaboration and teamwork
Establish and maintain a strong network of support to facilitate the accomplishment of deliverables
This role has dotted-line responsibility to guide and support the campus administrative team of three (3) assistants
Qualifications You Must Have
Typically requires an AA/AS degree (or other 2-year post high school training) with a minimum of 8 years relevant experience
Prior relevant experience in an executive administrative support role
Prior experience with booking (domestic and international) to support travel management and expense reporting
Microsoft Office 365 (Outlook, PowerPoint, Excel, Word, Teams, OneNote, etc.) and a willingness to adapt to new technologies
Familiarity with digital collaboration tools and virtual conferencing platforms (e.g., SharePoint, Zoom, Microsoft Teams)
Qualifications We Prefer
Comprehensive knowledge of the Corporate Leadership team's members and locations
Exceptional organizational skills and attention to detail, with the ability to prioritize tasks and work independently
Proven experience handling confidential and sensitive information with discretion
Self-motivated with solid time management skills and a proactive approach to learning and development
Strong communication and interpersonal skills, with the ability to build and maintain a robust support network to achieve deliverables
Strong work ethic, discretion, and a polished demeanor when interacting with internal and external stakeholders
Prior experience with Concur to support travel management and expense reporting
Strong time management and ability to handle competing priorities, with proactive approach to continually changing business duties in an extremely timely matter

The salary range for this role is 60,000 USD - 114,000 USD. The salary range provided is a good faith estimate representative of all experience levels.
