The Louisiana Department of Transportation and Development (DOTD) is seeking a highly organized and detail-oriented Administrative Assistant 4 to support the Office of the Secretary, Legal Section. This position serves as a key administrative support role within a fast-paced legal environment, providing support to attorneys and legal staff with legal documents, correspondence, case files, records, schedules, and other office operations.
This role involves managing large volumes of legal documentation, coordinating case-related activities, and ensuring timely and accurate processing of information. With responsibility for maintaining legal files, organizing records, and assisting in the preparation of legal documents and correspondence, this position plays an important role in supporting legal operations and ensuring efficiency within the Legal Section. The position may interact with DOTD staff, district offices, outside counsel, courts, agencies, witnesses, and other internal and external stakeholders on sensitive matters.
This role is ideal for an administrative professional who thrives in a structured, detail-driven environment and is comfortable working with confidential information, deadlines, and complex documentation.

Minimum Qualifications
Three years of experience in administrative services.
EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

Job Duties and Other Information
Job Duties:
Provides administrative support to attorneys and legal staff within the Legal Section.
Prepares, organizes, scans, files, and maintains legal documents, correspondence, pleadings, reports, and case materials.
Assists with formatting and processing legal documents such as motions, briefs, answers, affidavits, notices, and requests for production of documents.
Maintains legal files, records, correspondence, affidavits, workers' compensation files, tort files, and employment appeal files.
Organizes discovery materials, applies Bates numbers, and arranges documents by chronological order, topic, or Bates number.
Coordinates calendars, appointments, meetings, travel arrangements, travel authorizations, and expense accounts.
Receives, sorts, routes, and tracks incoming correspondence, pleadings, files, and other documents.
Uses Microsoft Office, Adobe Pro, FileNet, Site Manager, Mainframe, E-Discovery, PACER, and other systems to track, manage, and retrieve information.
Responds to administrative requests and assists with general office coordination.
May be required to perform other duties as necessary, including emergency or disaster support activities.
Position-Specific Details:
Appointment Type: This position may be filled as either a probational appointment (open to all qualified applicants); a promotion (open to all statewide classified and Agency-wide permanent status employees); or by detail to special duty.
Compensation: This position receivespremium pay of$2.00per hour for all hours worked.
Additional compensation may be considered for applicants who possessextraordinary job-related qualifications or credentials in accordance withState Civil Service Rule 6.5(g) and DOTD policy. Any such consideration is subject to approval and applicable pay limitations.
