Accounting Clerk
Job Description
The Accounting Clerk will manage core accounts payable and accounts receivable functions, working extensively in QuickBooks Online to support accurate, timely, and organized financial operations. This role involves processing invoices, reconciling data, preparing payments, and supporting general accounting activities while collaborating closely with a small, dedicated accounting team.
Responsibilities
Manage day-to-day accounts payable and accounts receivable activities for the organization.
Post accounts payable transactions into QuickBooks and reconcile data within the system for accuracy and completeness.
Cut checks for approximately 20-30 vendors on a regular basis and help process weekly check runs.
Review subcontractor invoices for accuracy and completeness, and resolve billing discrepancies by contacting subcontractors directly.
Set up direct bill accounts with subcontractors and ensure proper documentation and coding.
Process purchase orders by matching them to invoices and entering them into QuickBooks Online.
Handle expense report processing, including verification, coding, and entry into the accounting system.
Perform accounts receivable functions, including posting of payments and maintaining accurate customer account records.
Create and send invoices for approximately 200 contracts, ensuring timely and accurate billing.
Set up new vendors in QuickBooks Online and maintain up-to-date vendor records.
Pull financial reports within QuickBooks Online, including vendor-related reports, as requested.
Review the internal accounting database for accuracy and make corrections as needed.
File and organize invoices and related accounting documents to maintain an orderly record-keeping system.
Apply an understanding of journal entries to support accurate financial posting and reconciliation.
Communicate and negotiate with vendors regarding billing, payment terms, and discrepancies.
Support additional administrative and logistics tasks as needed, wearing multiple hats to assist the broader team.
Essential Skills
Experience working in accounting with exposure to both accounts payable and accounts receivable.
At least 1 year of experience using QuickBooks or QuickBooks Online.
Proficiency in QuickBooks, with the ability to work within QuickBooks for a significant portion of the day.
Knowledge of accounts payable and accounts receivable processes within QuickBooks Online.
Proficiency in Excel for basic to intermediate data entry, tracking, and reporting.
Experience using Google Workspace (such as Gmail, Sheets, and Drive) for collaboration and documentation.
Ability to pull financial and vendor reports within QuickBooks Online.
Strong communication skills for interacting with vendors and internal stakeholders.
Ability to negotiate with vendors regarding billing and payment issues.
Attention to detail and accuracy when reviewing invoices, entering data, and reconciling accounts.
Organizational skills to manage multiple vendors, invoices, and contracts simultaneously.
Additional Skills & Qualifications
Experience in a role such as accounting clerk or accounting assistant.
Hands-on experience with accounts payable and accounts receivable in a small team environment.
Comfort working with a variety of accounting tasks and taking on additional administrative or logistics responsibilities.
Ability to learn new accounting processes and systems and adapt to evolving responsibilities.
Strong problem-solving skills when identifying and correcting billing or data discrepancies.
Comfort working independently while collaborating effectively with a remote supervisor and on-site team members.
Work Environment
This is a full-time, in-office role based in Fairfax, working Monday through Friday from 8:00 a.m. to 4:30 p.m. The Accounting Clerk will join a small accounting team of three, collaborating closely with colleagues while reporting to a supervisor who works remotely. The role relies heavily on QuickBooks Online, Excel, and Google Workspace, and involves regular interaction with vendors and subcontractors. The environment offers opportunities for growth and development, including learning new accounting skills and contributing to administrative and logistics functions, allowing the individual to wear multiple hats in a supportive, team-oriented setting.

Pay and Benefits
The pay range for this position is $26.00 - $27.00/hr.
