Pay Range: $21.00-$24.00/hour
Schedule: Monday-Friday, standard business hours

Position Overview
We are seeking an experienced Administrative Assistant / Reception professional to provide advanced administrative, analytical, and project support for managers and teams within a fast-paced, operationally focused environment. This role serves as a central support function, ensuring smooth day-to-day operations through effective scheduling, reporting, coordination, and process improvement.
The ideal candidate brings 4-7 years of administrative or business operations experience, demonstrates strong organizational and communication skills, and is comfortable working independently across multiple systems and stakeholders.
Key ResponsibilitiesAdministrative & Office Operations
Provide standard and advanced administrative support for manager(s)
Maintain calendars, schedules, and meeting coordination
Arrange travel and lodging as needed
Screen calls, distribute correspondence, and maintain contact lists
Process expense reports, purchase orders, EMRs, timecards, and supply orders
Maintain confidential files and presentation libraries
Reporting, Analysis & Project Support
Prepare reports to support business planning and analysis
Select appropriate reporting formats and techniques
Assist with project plans and track progress and status reporting
Ensure accuracy, integrity, and completeness of reports and documentation
Produce meeting minutes and summaries for leadership review
Coordination & Stakeholder Support
Coordinate onboarding logistics for new hires (IT access, phone extensions, workspace needs)
Support special projects and cross-functional initiatives
Communicate deadlines, follow-ups, and status updates
Exercise judgment when handling sensitive or time-critical information
Required Qualifications
4-7 years of administrative or business operations experience
Strong time management and prioritization skills
Ability to support multiple managers and shifting priorities
High level of discretion and professionalism when handling confidential information
Experience working with reporting, finance, HR, and IT systems
Excellent written and verbal communication skills
Strong attention to detail and accuracy
Nice-to-Have Skills
Experience supporting projects or project managers
Experience in structured or regulated work environments
Process improvement or office operations optimization experience
