Job Title: Administrative Assistant

Job Description

The Administrative Assistant will provide critical support to a growing sales operation by managing order entry, billing, and day-to-day administrative coordination. This fully onsite role in Livonia offers steady daytime hours, a collaborative small-office environment, and the opportunity to directly impact a busy and successful sales team. The position is ideal for someone with strong administrative experience, excellent attention to detail, and comfort working in a fast-paced, high-volume, order-driven environment.

Responsibilities

Process customer orders accurately and efficiently, ensuring all required information is complete before entry.

Handle billing and invoicing activities within Sage or a similar ERP/accounting system, maintaining high levels of accuracy.

Work closely with the sales team to support order flow, address customer needs, and resolve issues in a timely manner.

Review order and billing documentation for accuracy, completeness, and compliance with internal procedures.

Maintain organized records related to orders, billing, invoicing, and related transactions for easy retrieval and audit readiness.

Perform data entry tasks with a high degree of speed and accuracy, including updating customer and order information in ERP or CRM systems.

Assist with general administrative tasks such as filing, document preparation, scheduling, and internal communications to support the office and sales team.

Provide clerical and customer service support, including responding to internal inquiries and coordinating with cross-functional stakeholders.

Manage time effectively to meet deadlines in a high-volume environment, especially during peak order periods and month-end activities.

Contribute to a positive, collaborative team environment by communicating clearly and professionally with colleagues across the organization.

Essential Skills

At least 3 years of experience in administrative support, billing, or order entry, ideally within an order-driven environment.

Hands-on experience working in Sage or a similar ERP/accounting or CRM system for order entry, billing, and navigation.

Proficiency with Microsoft Office, including Excel, Outlook, and Word, for data entry, communication, and documentation.

Demonstrated experience with billing and invoicing processes, including accuracy in entering and reconciling data.

Work Environment

This position is fully onsite in a small office located in Livonia, working Monday through Friday from 8:00 a.m. to 4:30 p.m.

This is a Contract position based out of Livonia, MI.

Pay and Benefits

The pay range for this position is $25.00 - $30.00/hr.
