Extension Administrative Assistant - Part Time

NDSU Extension/Stark-Billings County - Administrative Assistant Part Time - Wednesday, Thursday, Friday - 20-24 hours per week

Primary Duties and Responsibilities:

Prepare mail and electronic correspondence and reports; composes form letters or other correspondence; assembles packets; manage files and other records; creates and distributes meeting notices; schedule staff and client appointments; responds to requests for information from staff or the general public.

Welcomes and directs office visitors; answers phoneand refers callers to appropriate staff.

Provides support to county extension programs, including agriculture, family and consumer science and family nutrition; attends support staff meetings on extension programs.

Participates in the planning and organizing of meetings, workshops, mass media, newsletters, computer programs, training programs and other program delivery processes.

Prepares presentations, proposals, displays and business correspondence, brochures, publications and related information.

Orders office supplies, publications and equipment; maintains the office inventory.

Makes deposits; processes bills and maintains the Office financial accounts, including several budgets.

Participates in the Pesticide Certification Program by registering and testing participants; prepares presentation materials.

Delivers invoices and various documents to the County Courthouse.

Creates and maintains the county extension office web page, Facebook and twitter accounts and inter-net based extension calendar and e-mail correspondence.

Provides support and maintains the 4-H enrollment system and all Stark-Billings County 4-H programs; processes deposits, billings and the maintenance of financial accounts.

Makes copies; posts outgoing mail; distributes incoming mail; performs mass mailings; sends faxes.

Performs related work as required.

Education and Experience:

High School Diploma or equivalent required and 1 year of previous experience.

Associate degree in a relevant academic field of study and/or threeyears of experience in advanced staff support position or equivalent combination of education and experience preferred.

Possession of a valid State of North Dakota driver's license.

Required Knowledge, Skills and Abilities:

Knowledge of modern office principles, practices and methods.

Knowledge of various software applications.

Knowledge of the principles and practices of basic bookkeeping.

Ability to operate a personal computer and various software applications.

Ability to operate various office equipment.

Ability to prepare various written reports and records.

Ability to effectively prioritize and organize work assignments.

Ability to communicate effectively, both orally and in writing.

Ability to establish and maintain effective working relationships with County staff, external public agencies, parents, program participants, vendors, suppliers, program sponsors and the general public.

Working conditions/Physical and Mental Demands:

Physical environment consists of a desk job in the standard environment. Will include physical motions of finger dexterity for frequent use of PC keyboard, sitting and standing motions.
