Position Title: OPERATIONS SUPPORT MANAGER

Salary: $90,000 - $95,000

Pay Grade: 15

Other Forms of Compensation: BONUS

ESFM is the corporate facilities management (FM) division of Compass Group USA, a Gold-level Corporate Sustaining Partner of the International Facility Management Association (IFMA), and a Platinum Corporate Member of the Association of Energy Engineers (AEE).

Our portfolio of solution categories includes Facilities Maintenance & Engineering, ESG Programming, Laboratory Support Services, Janitorial & Industrial Cleaning, Landscaping & Grounds Management, Workplace Solutions and Managed Services.

This self-performance model creates a consistent hospitality experience for clients, resulting in higher engagement and productivity from their employees. ESFM's clients include many household names from the life sciences, technology, oil & gas and manufacturing markets.

Job Summary

The Operations Support Manager is responsible for providing hands-on facility support, overseeing light maintenance activities, managing vendors, and handling financial obligations. This role contributes to the overall success of on-site ESFM operations by demonstrating professionalism and effective communication with clients, vendors, and internal stakeholders.

Essential Duties and Responsibilities

Maintenance and Supervision

Perform and oversee light maintenance duties across the facility.

Supervise and coordinate maintenance services, repairs, and janitorial operations.

Manage subcontractor procurement and ensure timely, safe completion of repairs.

Develop, maintain, and track the annual Preventive Maintenance (PM) schedule.

Prioritize and oversee all facility-related work as needed.

Budget and Logistics

Manage operational budgets and monitor expenditures.

Implement corrective actions when variances occur.

Maintain an out-of-scope work log and manage approval processes for additional expenditures.

Team Management and Development

Supervise assigned staff, including hiring, payroll administration, work assignments, scheduling, and performance evaluations.

Provide technical guidance and assist with troubleshooting utilities-related issues.

Lead team meetings and maintain clear communication with the ESFM team and Client.

Manage employee overtime and leave in compliance with company policies.

Safety and Compliance

Conduct monthly safety audits and ensure corrective actions are completed.

Ensure compliance with all safety regulations, training requirements, and company standards.

Reporting and Communication

Compile information for weekly and quarterly Client presentations.

Manage the CMMS portal by assigning, tracking, and closing work orders.

Approve site invoices and submit monthly expense reports.

Keep Client teams informed of all safety matters, repairs, and work progress.

Meetings and Audits

Develop and maintain daily activity logs and conduct regular meetings to review work status.

Manage Client audits, ensure documentation is prepared, and communicate requirements to cleaning staff.

Attend all required Client and site meetings on time.

Policies and Regulations

Adhere to all ESFM policies and procedures.

Avoid personal gain from client interactions and comply with management directives.

Ensure ESFM rules and regulations are consistently followed on site.

Additional Responsibilities

Duties are not limited to those listed and may change based on Client needs or business requirements.

Qualifications

Minimum of 5 years of related experience as a hands-on facility or light maintenance coordinator in an office or similar environment.

Plumbing, electrical, or HVAC certification preferred.
