Position Description:
CGI is seeking a highly organized, proactive, and resourceful Administrative Assistant to join our team!
The ideal candidate will demonstrate exceptional time management skills and a proven ability to provide high-level support in a fast-paced environment.
Requires a detail-oriented professional who can anticipate needs, manage competing priorities, and handle confidential information with discretion.
This is a fully onsite position located at our CGI office in Sacramento, CA, requiring attendance five days per week!
Your future duties and responsibilities:
How you'll make an impact
Administrative Support: Provide comprehensive support to senior executives, including calendar management, meeting coordination, travel arrangements, and completion of ad hoc projects and data requests
Communication Management: Serve as a primary point of contact between executives and internal/external stakeholders, ensuring timely and professional communication
Document Preparation: Prepare reports, presentations, meeting agendas, and minutes; ensure accuracy, organization, and timely delivery; manage executive signature approvals
Event Coordination: Plan and execute meetings, conferences, and local events, including logistics, venue selection, and catering
Confidentiality: Handle sensitive and confidential information with the highest level of discretion
Office Management: Oversee office operations and supplies to maintain an efficient work environment; provide backup receptionist support as needed
Team Collaboration: Partner with other administrative professionals, departments, and external stakeholders to ensure seamless operations
Travel & Expense Management: Coordinate complex domestic and international travel, accommodations, and expense reporting with a focus on efficiency and cost-effectiveness
Required qualifications to be successful in this role:
What you'll bring
High school diploma with minimum of 5+ years of related executive-level administrative support experience
Exceptional organizational and time-management skills with the ability to manage multiple priorities
Strong written and verbal communication skills; comfortable interacting with senior leadership and external partners
Highly proficient in Microsoft Office Suite and SharePoint
Advanced calendaring experience supporting multiple executives
Strong note-taking skills with the ability to track and follow up on action items
Ability to work independently with sound judgment and strong problem-solving skills
High level of professionalism, integrity, and attention to detail
Proven ability to maintain confidentiality and exercise discretion
Ability to remain calm under pressure and resolve issues efficiently
Flexibility to work outside of standard business hours when needed
Strong relationship-building skills across teams and stakeholders
Proactive mindset with a focus on improving processes and efficiency
Professional presence with a positive, energetic attitude
Experience booking domestic and international travel, including air, ground transportation, and lodging

CGI is required by law in some jurisdictions to include a reasonable estimate of the compensation range for this role. The determination of this range includes various factors not limited to skill set, level, experience, relevant training, and licensure and certifications. To support the ability to reward for merit-based performance, CGI typically does not hire individuals at or near the top of the range for their role. Compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current range for this role in the U.S. is $51,600.00 - $114,900.00.
