Summary The Administrative Support Assistant is responsible for providing technical guidance and oversight of the day-to-day administrative service operations for the field office and performs technical support in the areas of financial review, personnel, and billings and collections. Responsibilities The duties described are for the full-performance level. At developmental grade levels, assignments will be of more limited scope, performed with less independence and limited complexity. The duties may include, but are not limited to: Provide support by maintaining the administrative operations of the field office. Manage customer accounts in various billing programs, review financial printouts for accuracy, monitor delinquent accounts and prepare certificates. Prepare and/or oversee preparation of certificates, billing documents and reports for services performed. Input applications for service and billing information and transmit billing documents within established timeframes. Review monthly Debt Management Report for delinquent accounts, and initiate immediate action on accounts with delinquencies greater than 30 days. Develop and initiate statistical reports on office fiscal activities. Responsible for assisting supervisors in matters pertaining to space, equipment, telephones, facilities, supplies, GSA vehicles, etc. Requirements Conditions of Employment Qualifications Applicants must meet all qualifications and eligibility requirements by the closing date of the announcement, including specialized experience and/or education, as defined below. FOR THE GS-05 LEVEL: Applicants must have two years of general experience and/or one year of specialized experience (equivalent to the GS-04 grade level) that may have been obtained in the private or public (local, county, state, Federal) sectors which demonstrates: Office procedures to establish and maintain files and retrieve or assemble information. Interacting with the public, applicants, and program officials in a tactful and diplomatic manner. Using a personal computer for word processing, spreadsheets, databases, and related functions. Communicating clearly and concisely in both oral and written formats. OR 4 years above high school. NOTE: Equivalent combinations of education and experience are qualifying for this grade level. FOR THE GS-06 LEVEL: Applicants must have one year of specialized experience (equivalent to the GS-05 level) that may have been obtained in the private or public (local, county, state, Federal) sectors which demonstrates: Managing, composing, and reviewing correspondence. Using automated time and attendance reporting systems. Utilizing electronic applications such as spreadsheets, databases, word-processing, and presentation software. Maintaining inventory and property accountability records. Note: There is no education substitution at this grade level. FOR THE GS-07 LEVEL: Applicants must have one year of specialized experience (equivalent to the GS-06 level) that may have been obtained in the private or public (local, county, state, Federal) sectors which demonstrates: Managing, composing, and reviewing correspondence. Experience assisting in developing solutions to issues involving administrative systems that impact program operations. Experience applying personnel operating procedures to complete forms, reporting requirements, and hiring actions. Experience using accounting and account-maintenance systems and applying fiscal policies to maintain electronic ledgers. Experience compiling and maintaining statistical data for administrative reports. Note: There is no education substitution at this grade level. The total percentages must equal at least 100 percent to qualify for that grade level. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional, philanthropic, religious, spiritual, community, student, social). Volunteer work helps build critical competencies and can provide valuable training and experience that translates directly to paid employment.
