Description
We are seeking an experienced and analytical Customer Service Representative dedicated to supporting one of our largest Pacific Northwest customers. This is an elevated CSR role responsible for full-cycle customer support, including sourcing, quoting, order entry, purchasing, expediting, and customer specific inventory analysis.
This position is exclusively based on-site at our branch in Everett, WA. This is not a remote position.
In addition to traditional customer service responsibilities, this role performs inventory data analysis, generates reports, evaluates Min/Max (up-to) levels and replenishment trends, and makes recommendations to ensure supply continuity and operational efficiency for the customer.
The ideal candidate is highly organized, analytical, proactive, and comfortable working independently while collaborating across departments.
Customer Service & Order Management
Serve as the primary point of contact for our customer
Manage all customer inquiries, requests, and issue resolution
Prepare and follow up on quotes
Accurately enter and manage orders using ERP system (Prophet 21)
Coordinate with site support, warehouse, solutions and other teams to ensure timely fulfillment
Expedite open quotes and orders with urgency and accuracy
Ensure customer-specific requirements are consistently met
Sourcing & Purchasing
Source products across approved supplier network
Communicate with suppliers to obtain pricing, lead times, and availability
Issue purchase orders and management supplier follow-up
Leverage Stellar supplier partnerships to best serve the customer
Inventory & Data Analysis
Monitor customer-specific inventory
Review and maintain Min/Max and safety stock levels
Create reports and analyze usage trends
Identify replenishment risks and make inventory level recommendations
Support data-driven decision-making to optimize inventory investment and availability
Collaboration & Process Excellence
Follow established CSR, Warehouse, Solutions, and Quality processes
Learn and utilize automated or semi-automated systems implemented for the customer
Maintain strong communication internally and externally
Engage in continual learning of Stellar services, programs, processes, and product offerings
Follow all customer guidelines, safety requirements, and required training protocols

Additional Skills & Qualifications
Education: High School Diploma or equivalent
Required Knowledge and Skills
Strong customer service orientation
Analytical mindset with ability to interpret data and make recommendations
Problem-solving skills and ability to work through supply challenges
Prior sourcing or purchasing experience preferred
Proficient in Microsoft Office, especially Outlook and Excel
Experience with ERP systems (Prophet 21 preferred but not required)
Excellent verbal and written communication skills
Self-motivated with ability to work independently
Experience
2-3 years of relevant customer service, sourcing, our purchasing related experience
Experience supporting a dedicated or key account preferred

Pay and Benefits
The pay range for this position is $26.00 - $30.00/hr.
