Our Client, a Eneregy Services company, is looking for a Administrative Assistant - Intermediate for their Austin, TX location. Responsibilities:

Has developed proficiency in a range of processes or procedures through job-related training and considerable on-the-job experience. This role requires strong communication and interpersonal skills, the ability to manage constant change, and a high level of efficiency and professionalism.

The Administrative Assistant will also serve as support to sitewide Executive Assistant and operations team, ensuring seamless continuity of support.

Provide administrative support to leaders within a complex, global organization.

Composes correspondence as required and determines most effective formats for charts, presentations, etc.

Screens phone calls and where possible, immediately deals with issues/requests on behalf of the person(s) supported (as authorized).

Set up meetings/events, video conferences, and conference calls on/off-site as needed.

Makes travel arrangements, via the Corporate Travel department.

May coordinate special arrangements, such as tours for visiting VIPs, award ceremonies, conferences, or moves.

Executes special research and data analysis tasks.

Runs reports and ensures data accuracy.

Participates in creating and/or creates departmental procedures and documentation.

Performs other special project work.

Serve as a backup to an Executive Assistant, stepping in seamlessly during absences or periods of high demand.

Prepare, submit, and track executive expense reports in a timely and accurate manner, ensuring compliance with company policies and resolving discrepancies as needed.

Act as a trusted point of contact, handling sensitive and confidential information with discretion.

Build and maintain strong working relationships with executives, stakeholders, and administrative partners across regions and functions.

Requirements:

Has developed proficiency in a range of analytical processes or procedures to carry out assigned tasks

Has a good understanding of how the team integrated with others to achieve objectives

May provide informal guidance and support to more junior team members

Provides solutions to problems in situations that are atypical or infrequently occurring based on existing precedents or procedures

Impacts the quality of own work and its contribution to the team

Use communication skills to regularly exchange information

High School Diploma/GED

Experience: 2 - 4 Years
