Summary The incumbent is assigned to oversee performance of one or more specialty sections in the service, as well as serving the data analysis needs of Medical Service as a whole. Specialty sections include a multi-disciplinary team delivering care specialized to a specific organ or disease e.g. Oncology, Pulmonology, Cardiology, etc. The incumbent will be required to manage, providing evaluation and guidance on both internal and external metrics directly impacting care delivery of this specialty. Responsibilities Supports management by preparing baseline assessments, options analyses, and recommended actions aimed at improving access, service timeliness, and workflow efficiency. Compiles data from established sources to help develop staffing indicators, workload projections, and other analytical products that inform resource decisions. Reviews administrative and operational procedures within assigned specialty areas to determine compliance with established policies, local guidance, and program expectations. Assists in analyzing workflow processes such as appointment management, referral pathways, documentation practices, workload capture, and scheduling patterns to identify opportunities for improved efficiency and standardization. Participates in work groups and improvement teams by gathering data, summarizing meeting information, preparing follow-up materials, and tracking action items. Provides analytical support in evaluating the impact of operational changes, new procedures, or system modifications, including collecting performance data before and after implementation. Coordinates with clinical and administrative staff to clarify identified issues, document process requirements, and help ensure consistent application of operational policies. Assists in preparing documentation for internal or external reviews, including support for compliance assessments, survey readiness activities, and follow-up actions related to audit findings. Serves as a point of contact within Medical Service for inquiries related to program requirements, data requests, or operational processes within assigned specialty areas. Prepares correspondence, briefing materials, and responses to routine inquiries from patients, staff, or other services; escalates non-routine issues to leadership as appropriate. Helps coordinate the flow of operational information between Medical Service and other clinical or administrative services to support continuity of care, consistent process execution, and efficient communication. Monitors common communication channels (e.g., voicemail queues, secure messaging ,fax workflows) to understand service demand patterns and identify recurring operational bottlenecks. Assists leadership in basic program oversight activities by gathering data for quality reviews, drafting documentation needed for performance monitoring, and summarizing stakeholder feedback. Performs other related duties in support of Medical Service operations, including participating in special studies, preparing reports, supporting improvement initiatives, and performing data or workflow reviews as directed.
