The Department of Transitional Assistance (DTA) is seeking qualified applicants for the position of Mailroom Operator. Our ideal candidate will be responsible for operating mailer and digital print equipment to process the Department's daily and special mailings, plus other notices; performs related duties in the mail room as required to support agency distribution of materials and bindery functions as needed. DTA attracts people passionate about public service, who love to work in a fast-paced environment, and who are committed to diversity, equity, and inclusion. /Duties and Responsibilities (these duties are a general summary and not all inclusive):/ · Processes agency mailings to clients · Operates Xerox digital printers, Ascent Pitney Bowes system, bindery equipment (folder, cutter, etc.), ODirect software device, and WebCrd. · Troubleshoots mailing and Xerox equipment for technical problems and contacts service technicians. · Reports technical, software, and notice formatting issues in a timely fashion. · Communicates with supervisor and director on progress of all print operations, inventory of digital print supplies, and all printing issues. · Works closely with other areas of Document Production Unit to organize overlapping workflow requirements. · Works closely with Web Administrator on all printing requests, requirements, and issues for both hardware and software. · Performs quality checks to ensure efficient quality control of all outgoing materials. · Analyzes mail output and provides suggestions to ensure quality and cost effectiveness. · Prepares and processes and maintains inventory control of manual inserts. · Responsible for the gathering of materials to fill local office requests. · Provides support for all incoming stock through the freight elevator. · Assists print production staff in assembling large orders of new and revised local office documents. · Maintains quality control levels and standards on all print requests. · Assists with operation of unit's car and/or van when required. /Required Qualifications: / · Ability to multitask and prioritize in a fast-paced environment. · Ability to work effectively as both a member of a team and independently. · Excellent verbal and written communication skills. · Ability in gathering and recording information daily. · Ability to establish and maintain harmonious working relationships with coworkers and customer base. · Ability to deal tactfully with others. · Ability to maintain a professional demeanor in stressful situations. · Ability to take direction from supervision and management. · Ability to follow written and oral instruction. · Ability to define and analyze problems and provide appropriate recommendation or solutions. /Preferred Qualifications:/ · Five years of mail, copy, or print industry experience. · Expertise in MS Outlook, Word, Excel, PowerPoint, and Adobe Acrobat · Knowledge of the various methods used in transporting goods, materials, and equipment. · Ability to maintain accurate records. · Ability to establish and maintain harmonious working relationships with coworkers and customer base. · Ability to work a flexible schedule based on customer needs. · Skill in the operation of materials handling equipment in a production environment such as hand trucks and dollies · Ability to take direction from supervision and management. · Ability to define and analyze problems and provide appropriate recommendation or solutions. · Possession of a current and valid Massachusetts Class D Motor Vehicle Operator's license. Minimum entrance requirements: Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in electronic data processing work, the major duties of which included the operation of the console of a computer and/or the peripheral devices used in support of computer operations, or (B) any equivalent combination of the required experience and the substitutions below. Substitutions: I. An Associate's degree or higher with a major in the field of data processing may be substituted for one year of the required experience. II. A diploma for completion of a one year full-time, or equivalent part-time, program in a recognized non-degree granting business or vocational/technical school above the high school level with a major in the field of data processing may be substituted for one year of the required experience. An official transcript from a recognized business or technical/ vocational school as evidence of completion of a program consisting of at least 650 hours of instruction in computer programming/operation may be substituted for one year of the required experience. Salary placement is determined by a combination of factors, including the candidate's years of directly related experience and education, and alignment with our internal compensation structure as set forth by the Human Resources Division's Hiring Guidelines.
