About the Role

We're looking for a dedicated Administrative Assistant to join our team and help us continue delivering the level of care our patients and families deserve. In this role, you'll be a vital part of our administrative team, ensuring excellent service, collaboration, and patient outcomes in a fast-paced healthcare environment. As the Administrative Assistant you will provide administrative support for the Mental Health Unit Leadership Team and their team members as appropriate. You will manage the office functions for assigned leaders, ensuring effective communication and organization to allow the leaders to effectively execute strategies and provide leadership in their assigned areas. The Administrative Assistant carries out all functions with an emphasis on confidentiality and effective problem resolution.

What You'll Do

Provide day-to-day support including but not limited to: managing all office systems and coordinating the schedule of the Medical Director, Nursing Director and Nurse Manager. Manage internal and external meetings, and special arrangements.

Manage office systems including setting up and maintaining files, appointments and documents needed, internal and external meetings, special arrangements, and advance preparations as needed. Provide meeting support for IRC, Quality, Admin meeting, MHU/ED Admin meeting.

Provide assistance as needed for the MHU provider team.

Coordinate fiscal responsibilities of the Medical Director and Nurse Leaders; manage invoices in Workday and assist with the yearly budget as appropriate.

Coordinate the on call provider schedule and reimbursement

Coordinate QGenda

Provide immediate technical support for the MHU leaders and their direct reports for computer programs and virtual meetings.

What You Bring

High school graduate. Minimum of two years secretarial experience, preferably in a human service setting with a working knowledge of medical terminology. Associates Degree in secretarial education or business management strongly preferred. Strong communication and teamwork skills. Commitment to providing patient-first, high-quality service. Comfort working in a fast-paced, collaborative environment.
