The Department of Natural Resources is seeking to fill one (1) part-time (80%) seasonal Office and Administrative Specialist at Bear Head State Park in Ely, MN. Hours worked for this position are typically 8:00am - 4:30pm, although days of work will vary, they are typically Monday - Thursday. Typical season dates for this position are April - September.
This position exists to perform clerical duties for Bear Head Lake State Park and state forest campgrounds operated by Bear Head Lake State Park, including but not limited to operating the park office, training coworkers, handling correspondence, assisting with fiscal management, operating revenue producing facilities, assisting with personnel management, record keeping, public information, and custodial duties.
Responsibilities include, but are not limited to:
Operate the park office and handle correspondence of a routine nature between the park, state forest campgrounds, the public, regional office, central office and other agencies so that business and communication obligations are met.
Assist with fiscal management so that budgets are established and followed, bills are paid, and liquidations are current and accurate.
Operate revenue producing facilities so that the appropriate revenue is received for services rendered and goods sold.
Aid in personnel management as delegated by the supervisor so that employee, park and departmental objectives are met.
Keep records as required by the supervisor so that an accounting record is kept to aid park operations.
Answer questions and disseminate information so that park customers are informed of the rules, fees, policies, and recreational opportunities.
Perform custodial duties so that the park office and surrounding area is neat, clean, safe, and available for the enjoyment of park visitors and staff.
Minimum Qualifications
Knowledge of customer service practices and principles sufficient to represent the department in a courteous, friendly, helpful, and professional manner in person and over the phone.
Knowledge of accounting functions to maintain budgets, pay invoices and track expenses.
Knowledge of Word processing, typing or keyboarding skills sufficient to @type narrative and numerical documents efficiently with proper grammar and spelling.
Mathematics skills sufficient to calculate, review, and reconcile data and balance accounts.
Customer service and communication skills to provide information to the public and other employees effectively and courteously in person and by phone calls and email.
File management skills sufficient to ensure document retrieval in an efficient and accurate manner.
Skill in using record keeping systems sufficient to maintain administrative and fiscal data and to prepare reports.
Basic data entry ability and database management/spreadsheet software skills to record budget data and maintain accurate budget records and reports.
Ability to communicate sufficient to clearly understand and be understood in person, in writing, and via phone interactions with customers.
Preferred Qualifications
One (1) year of customer service experience.
One (1) year general office experience performing mail merging, database management, project management, administrator for online database; creating, issuing, and processing permits; creating purchase orders, processing paperwork for items such as fleet, purchasing cards, expense reports; creating and editing reports that included graphs and tables, etc.
Experience using Microsoft Office Suite such as Excel, Word and Access software to compile, manipulate, store and retrieve data.
Experience in accounting, fiscal budgets, or accounting procedures and software.
Experience retrieving, archiving, and converting documents and electronic materials of different formats.
Additional Requirements
This position requires an unrestricted Class D Driver's license with a clear driving record; per DNR Fleet Policy, only those 18 years of age or older with a valid driver's license may operate equipment and vehicles on behalf of the Agency.
