Description

We are looking for a detail-oriented and proactive Senior Administrative Assistant to join our team in Scarborough, Maine. This is a Contract to permanent position, offering an excellent opportunity to contribute to a dynamic environment. The role requires strong organizational skills and the ability to manage multiple priorities efficiently.

Responsibilities:

Oversee and manage complex calendars, ensuring scheduling conflicts are resolved and priorities are aligned.

Provide comprehensive administrative support, including preparing correspondence and handling confidential documents.

Arrange and coordinate travel plans, including booking flights, accommodations, and transportation.

Schedule and organize conference calls, ensuring all necessary materials and participants are prepared.

Facilitate meetings by coordinating logistics, preparing agendas, and taking detailed minutes.

Perform receptionist duties such as answering calls, greeting visitors, and managing inquiries.

Monitor and maintain office supply inventory, placing orders as needed to ensure smooth processes.

Requirements - Proven experience in calendar management and scheduling for senior-level staff.

Strong administrative skills with the ability to handle multiple tasks simultaneously.

Proficiency in arranging complex travel itineraries and handling logistics.

Excellent communication skills, both verbal and written, to manage conference calls and meetings effectively.

Strong attention to detail and organizational skills to manage office supplies and documentation.

Demonstrated attention to detail in receptionist duties, including managing front desk operations.

Proficiency in standard office software, including word processing, spreadsheets, and email applications. TalentMatch®
