Our Austin Equipment Yard has an outstanding opportunity for an Equipment Coordinator at our equipment yard located in Southwest Dallas, Texas near Duncanville. The Equipment Coordinator is responsible for overseeing shipping and receiving activities to ensure accurate documentation and tracking of all equipment and materials moving to and from the Equipment Yard, as well as between job sites. This role coordinates the scheduling and execution of truck hauling and miscellaneous services, ensuring all activities are performed safely, efficiently, and cost effective manner in support of field operations.
Reporting to the Equipment Division Manager, this position is responsible for overall Equipment Yard logistics including the tracking and safeguarding of assets. The Equipment Coordinator ensures the division's compliance with all DOT (Department of Transportation) requirements including maintaining DOT records on drivers, equipment, and trucks. In addition, the Equipment Coordinator performs other management functions related to the pricing of services, strategic direction, and organization of the division.
Functional Areas of Responsibility
Shipping and receiving of material and equipment
Initiating and proper recording of transfer documents
Reviewing and distribution of equipment division invoices
Permits for hauling as needed
Maintaining equipment inventory reports
All DOT filing requirements
Overseeing of safe operation of equipment yard activities
Compliance with company policies and procedures
Recruitment and development of subordinates including training of operators
Specific Duties and Responsibilities
Logistical planning including the scheduling and dispatching of haul trucks
Initiates, prices, and codes transfers to ensure proper tracking and control over company assets and billing codes
Manages hauling and miscellaneous service operations in support of field operations.
Maintains market price data on which price recommendations are made
Coordinates logistical activities with other departments and supports jobsites on equipment needs with prompt and timely service, aides in the troubleshooting of jobsite issues of a varying nature including billing questions
Responsible for the initial review and sorting of incoming invoices to ensure the proper distribution to the correct departments for approval and coding
Obtains permits for overweight, over width, over hang and hub permits for Haul Trucks, Concrete Pump Trucks and Mobil Cranes
Maintains equipment inventory records and monitors equipment utilization
Oversees random and post-accident drug and alcohol testing for division personnel and DOT drivers per company procedures and DOT requirements
Manages and maintains DOT files and required paperwork including but not limited to:
Pre-placement physicals, drug test and breath alcohol test for new hire drivers
DOT file paper work, issue of DOT cards and road test for new drivers
Recertification physicals for current drivers
Check and file Drivers Daily Logs
DOT inspections and maintenance files kept current on all DOT regulated vehicles and trailers
Ensures compliance with all corporate and division policies and procedures as well as federal, state, and municipal laws related to equipment sales, rentals, and related services including all dealing with employment, compensation, health, safety, labor/management relations, etc. Take corrective action where necessary and notify/or involve corporate personnel where required or needed
Perform other duties as assigned
Qualifications:
Prior experience working in or supporting an equipment yard, fleet, or construction environment preferred
Demonstrated experience with shipping/receiving, equipment transfers, inventory tracking, and invoicing processes
Familiarity with equipment hauling requirements, including permits for overweight, over-width, over-hang, and specialized equipment
Understanding of construction equipment rentals, utilization tracking, and asset management
Ability to review, distribute, and code invoices accurately for proper billing and cost control
Strong organizational and time-management skills with the ability to manage multiple priorities
Effective communication skills to coordinate with internal departments, job sites, vendors, and regulatory agencies
Requirements:
High school diploma or GED required; associate degree or equivalent work experience preferred
3-5 years of experience in equipment rental, fleet operations, logistics, construction operations, or a related field
Knowledge of DOT regulations and compliance requirements, including driver qualification files, vehicle inspections, and drug and alcohol testing programs
Experience maintaining confidential employee and DOT-related records in an organized and compliant manner
Ability to work in and around an active equipment yard environment
Ability to periodically inspect yard activities, equipment, and operations as needed
